Matheson Centre in Elmsdale, NS.The Administrative Assistant provides reception services and administrative support for the Planning & Development department and the Parks, Recreation, & Culture department.ResponsibilitiesAct as the first point of contact at the Planning & Development and Parks, Recreation, & Culture Reception desk. Respond to public inquiries by phone, email, and in-person, and direct members of the public to the appropriate staff person(s).Coordinate office supplies, manage incoming and outgoing mail, schedule appointments, establish and maintain efficient record management systems, and other office management duties.Provide day-to-day administrative support services to the two departments including the preparation of correspondence, reports, and other various administrative tasks as requested.Financial administration support including preparing tender packages, submitting tender ads, preparing requisitions and purchase orders, and tracking credit card purchases.Under the direction of the Development Officer, prepare paperwork and complete administrative requirements for the final phase of subdivision plans.Intake inspection and building permit application requests via phone and email and schedule inspections.Manage and provide support around records management systems for both departments.Provide support for events planning in both departments.QualificationsCompletion of two (2) year community college level certificate or diploma related to administrative servicesMinimum of one (1) year experience in an office environment, reception role, or administrative role, municipal experience an assetEquivalent combination of education and experience will be given considerationAdvanced skills in Microsoft Office suite.
