Job Description

About Town House Glace Bay Citizen’s Service LeagueEstablished in 1967, Glace Bay Citizens Service League is a volunteer based non-profit, charitable organization which offers programs that improve the quality of life of the community of Glace Bay and surrounding areas, in response to needs identified by residents.Position OverviewThe Event Coordinator will work with the Town House team, event committee, and volunteers to organize and implement all elements of our fundraising and community events including sponsorship, ticket sales, and donations, communications, and logistics including working with vendors.You’ll thrive in this role if you have an “eye for details”, can juggle priorities and adapt in a busy and ever-changing environment, balancing multiple projects, managing multiple concurrent events while adhering to strict deadlinesJob RequirementsMust be eligible for Job Creation Partnership funding (meaning you have a current EI claim, or have had an EI claim in the past 60 months.)Education:

  • Completion of a diploma or degree in Business Administration, Hospitality and Tourism or related field – or a combination of education, training and experience deemed equivalent.

  • Conference and meeting planning companies

  • Hotel, motel, resort
  • Tourism associations
  • Multi-purpose facilities

  • Computer literacy required, assets include experience with Google Docs, Canva, Wix.
  • Excellent interpersonal skills, booth written and verbal.
  • Must be a creative and effective leader, possessing a high degree of professionalism.
  • Must be able to work independently and maintain a positive attitude within a very busy environment.
Knowledge, Skills & Abilities:
  • High degree of organization and attention to detail is essential.
  • Proficiency with computer software related to the work, specifically Google Docs, Canva, Wix, and ability to learn new programs and online tools as required.
  • Ability to move and set up furniture and trouble shoot A/V equipment.
  • High energy with exceptional organization and written/ verbal communication skills
  • Ability to establish and maintain effective working relationships with internal and external service providers with a high degree of professionalism.
  • Ability to prepare and maintain a variety of records, files and documents related to the work.
  • Ability to work outside of regular office hours for special events.
  • Must be able to work independently and maintain a positive attitude within a very busy environment.
Primary Job Functions
  • Plan and facilitate logistics for events, including development of critical path, site preparation, catering, entertainment, transportation, décor, marketing materials, and onsite event execution.
  • Assist in developing action plan for upcoming events
  • Assist in event budget preparation
  • Participate in sponsorship, partnership or fundraising programs for specific events
  • Help develop marketing and communication plans, media strategies and public relations activities; participate in management and creation of content for event social media pages and website.
  • Develop event risk management and contingency plans including, Covid protocols, security, required documentation, etc.
  • Assist in venue selection and attend to related details
  • Determine requirements for hospitality services, signage, multi-media equipment, printing and other technical services, and arrange for and manage contracts for these services
  • Review vendor quotes and assist in vendor selection; administer contracts for the provision of supplies and services
  • Co-ordinate set-ups, staging, seating, parking, communication systems and other details for events
  • Manage registration systems and information materials
  • Confirm and co-ordinate speakers, and presenters
  • Prepare event schedules
  • Lead the planning and layout for the event brochure, event slideshows, thank you cards, etc. ensuring that all events and sponsors are listed.
  • Arrange for production or purchase of promotional products and
  • Manage logistics during events
  • Supervise staff and/or volunteers during events
  • Prepare post event evaluation and financial reports
  • Other duties as assigned
Requirements
  • Attention to detail
  • Requires ability to stand up to 3-7 hours per day with frequent walking, standing, bending, squatting, pulling and pushing.
  • Requires ability to keyboard at computer or use hand held device for up to 7 hours per day.
  • May be required to lift items 20-50 pounds and assist in 2-person lifts in excess of 100 pounds
  • Ability to manage stress and work under pressure including tight deadlines, and competing priorities
  • Ability to work outside regular hours of operation during events
  • Valid driver’s license and occasional use of own transportation (mileage reimbursed)
  • Successful criminal record check and vulnerable sector search
  • Be eligible for a JCP grant
