Job Description

POSITION DESCRIPTIONPOSITION TITLE Receptionist/Administrative SupportACCOUNTABLE TO Operations ManagerPRIMARY OBJECTIVE OF POSITIONReporting to the Operations Manager, the Receptionist provides front office reception and general administrative support to management and staff. This position makes a genuine impact on new and existing customers and clients. You will be the first impression of the company while on the phone or at the office. The Receptionist is responsible for providing administrative support and coverage for office staff.MAJOR AREAS OF PERFORMANCERECEPTION AND INCOMING COMMUNICATION

  • Answer all incoming telephone calls and satisfy customers’ inquiries
  • Communicate with callers and visitors in a professional, friendly and efficient manner
  • Greet customers and determine the nature of their visit
  • Provide information or direct them to appropriate person
  • Listen to and redirect complaints
  • Direct customers to the correct department and notify the appropriate person that a customer is waiting and provide an introduction
ROUTE INCOMING COMMUNICATIONS
  • Check main voicemail and direct messages to the appropriate parties in an efficient and timely manner
Administrative Support
  • Order and manage office supplies
  • Weekly Invoicing of all dispatch orders
  • Process templated letters to general enquiries
  • Conduct accounts receivable invoicing
  • Conduct weekly E log audit
  • Process on-site snow removal invoicing
  • Reconcile fuel charges, statements and taxes
  • Manage and close out completed work orders and associated paperwork as needed
  • Coordinate and distribute driver envelopes (trip sheets, fuel sheets, etc.)
  • Create memos, correspondence, reports and other documents as needed
  • Assist with other clerical duties as required
  • Daily attendance/Fire Marshal duties
  • First Aide Kit inspections, order supplies and refill as needed
  • Office cleaning inspector
REQUIREMENTS
  • High school diploma or equivalent
  • Formal education and/or 1 year work related experience in an office setting
  • Professional phone etiquette
  • Strong interpersonal and communication skills, both written and oral
  • Proficient in Microsoft Office (Excel, Word, and Outlook)
  • Detail oriented, and organized
  • Accurate and efficient data entry skills
  • Good problem solving skills
  • Ability to work independently and as part of a team
  • Ability to meet deadlines
  • Ability to multi-task
  • Ability to work well under pressure & perform in a fast paced/high stress situations
Expected start date: 2021-06-15Expected start date: 2021-10-18Job Types: Full-time, PermanentSalary: $33,477.00-$53,184.00 per yearAdditional pay:
