We encourage applications from qualified candidates from all diverse communities including, but not limited to, Indigenous persons, racially visible persons, people with disabilities, 2SLGBTQ+, and women in non-traditional roles.Position DescriptionThe Program Administrator, Education provides essential administrative, logistic, and data entry support to ensure the smooth operation of the Canadian Wildlife Federation’s formal and community-based education programs, which include WILD Spaces, WILD Webinars, WILD Education, WILD Generations, WILD Family Nature Club, and Gardening for Wildlife. These programs engage individuals, educators, schools, and community groups in experiential learning, nature connection, and hands-on conservation action.Roles and responsibilities for the position include program logistics, certification, data entry and reporting, fulfillment, customer service and marketing and communications support. This position reports directly to the Education Manager, Generalist, but also works closely with the Experiential Education Manager. This is an entry-level position.Key ResponsibilitiesProgram Logistics

  • Provide logistical support for program activities, including scheduling, venue coordination, and resource management as needed.
  • Process education program requests and maintain a schedule of in-person and virtual events.
  • Compile and maintain mailing lists for education programs (e.g. for shipping native pollinator plant kits).
  • Work closely with program teams and other internal departments to conduct other administrative duties, outreach via phone, events and special projects as required (in-office and/or in field for booths, garden demos, workshops, intergenerational events).
Certification
  • Verify, review, and process Garden Habitat Certification and Native Plant Supplier applications in accordance with established criteria.
  • Issue certificates of completion for professional development programs and workshops.
  • Compile follow-up documents, photos, certificates, and congratulatory letters/emails.
Data Entryamp; Reporting
  • Maintain program records, reports and metrics.
  • Maintain and update online Certified Garden and Native Plant Supplier Maps.
  • Ensure Native Plant supplier list is up to date.
  • Work with Finance department to reconcile monthly sales, process invoices and issue facilitator honorariums.
  • Support quarterly reporting and program evaluation through data tracking and analysis, and maintenance of participant records.
Fulfillment
  • Work with Operations team to maintain and update inventories of program materials and submit requisitions for reprinting.
  • Process Garden Habitat Certification signage orders.
  • Work with Operations team to coordinate shipments of program materials to workshop participants, partners and/or facilitators.
Customer Service
  • Demonstrate excellent customer service by responding to program inquiries in a timely fashion.
  • Oversee CWF Education email inbox and respond to/forward inquiries to other team members as appropriate.
  • Provide basic troubleshooting support to educational program participants and garden certification applicants. Escalate troubleshooting to necessary department as needed.
Communicationsamp; Marketing Support
  • Work with Marketing and Communications department to ensure program webpages and event listings are up to date.
  • Submit digital channel requests as needed.
  • Source communication content from program participants, partners and external experts (e.g. photos, testimonials, blogs, etc.).
  • Work with Marketing and Communications around program promotions, such as providing information, scheduling content in alignment with social media calendar, establish contest criteria, communication with contest winners, etc.
Experience / Skills / Knowledge / Abilities
  • College certificate in fields related to Administration, Business, Communications, or Education
  • At least 3 months of relevant experience
  • Bilingual in English and French
  • Experience with data management (Salesforce an asset)
  • Excellent customer service skills
  • Ability to maintain confidentiality when handling sensitive information
  • Strong verbal and written communication skills
  • Excellent organizational and task management skills
Assets:
  • Gardening experience
  • Experience providing logistical support for programs or events
