You are now in the main content areaHome > Career OpportunityAdministrative LeadRequired PositionREQUIREDAdministrative LeadOffice of the President and Vice-ChancellorTerm AppointmentResponsibilitiesRESPONSIBILITIESReporting directly to the President and Vice-Chancellor (the “President”), the Administrative Lead, Office of the President and Vice-Chancellor (the “Administrative Lead”) is a member of Laurentian’s Leadership Group. The Administrative Lead assists the President to identify priority issues, communicate with the Laurentian University community and lead the day-to-day operations of the office. The Administrative Lead assists the President in planning and executing a wide range of complex and sensitive administrative duties related to policy development, academic, fiscal, and administrative programs. The Administrative Lead acts as office manager, manages and responds to a wide range of matters of importance, often high profile and coordinating priorities and processes to ensure that the Office of the President operates efficiently. The Administrative Lead supports the President with the Executive Team and Senior Leadership Group, and is responsible to prioritize matters and ensure effective leverage of the President and Executive Team’s time and attention. The Administrative Lead has recurring contact with members of the University, the Chancellor’s office, senior leaders, faculty, staff, students, alumni, parents and external constituents.Major duties and responsibilities
  • Collaborate with and support the President and other senior leaders to identify strategic opportunities for Laurentian University and in implementing key initiatives and priorities.
  • Coordinate and assist, in collaboration with members of the Executive Team, the execution of University-wide projects undertaken by the President.
  • Provide confidential, discreet support to all aspects of the functions of the office including handling questions, concerns, issues and requests on the President’s behalf.
  • Work closely with the Presidents direct reports to develop executive-level meeting agendas and presentations, highlighting key strategic topics for meetings.
  • Work closely with the Executive Director of Communications, Marketing and Government Relations, and others to prepare the Presidents presentations to Senate and the Board of Governors, and support government advocacy initiatives.
  • Work closely with the President on their performance report to the Senior Management Review and Compensation Committee of the Board of Governors.
  • Develop briefing papers to ensure the President is fully appraised of all the issues and factors to make informed decisions and draft reports and correspondence on behalf of the President, in collaboration with other leaders.
  • Edit correspondence and documents prepared by board members, senior administrators and staff as necessary.
  • Attend meetings with the President, take appropriate notes, coordinate action items and follow-up to coordinate and track progress.
  • May attend meetings on behalf of the President.
  • Lead the day-to-day administrative activities of the Office of the President and perform administrative functions that require a thorough knowledge of the University’s policies and procedures.
  • Manage the Office of the President, including one administrative staff, student workers and external contract providers.
  • Ensure administrative support services are coordinated among a team of Executive Administrative Assistants who support Executive Team members and their respective departments.
  • Ensure the President is properly supported so that they can effectively and strategically execute their responsibilities.
  • Serve as the primary point of contact and provide assistance to various constituencies seeking to talk directly with the President or seeking interpretation of policies and procedures.
  • Convey key issues, concerns, and information to the President.
  • Collaborate with other departments to plan, coordinate and host activities and events for the Office of the President, and related offices including University convocation, receptions, and events held at other locations (invitations, seating, food services etc.).
  • Provide oversight for the records and information management within the Office of the President, in accordance with University records management and retention policies and guidelines and legislated requirements such as FIPPA.
  • Provide oversight for the budget planning and financial control for the Office of the President, and the consolidation and oversight of budgets, planning and financial reporting for the components that comprise the Presidents Division.
  • Promote a positive image of the University by receiving visitors, responding to enquiries in person, via telephone or email.
  • Other responsibilities as assigned.
QualificationsQUALIFICATIONS
  • Honors undergraduate degree (4 years) in a related field such as Business Administration, Communications or Management;
  • Postgraduate degree in a related or relevant field is an asset;
  • Relevant experience in a leadership role in a medium to large organization, including experience leading others;
  • Experienced in corporate communications strategies;
  • Demonstrated ability to work in a highly matrixed and relationship-driven culture;
  • Demonstrated ability to drive multiple high profile and complex projects simultaneously;
  • Well developed leadership approach, having accomplished clear and effective leadership outcomes;
  • Leadership competencies and capabilities to thrive in a complex academic environment;
  • Superior English and French competencies (written and verbal);
  • Superior organizational, time management, prioritization and accuracy skills;
  • Demonstrated ability to work independently in a fast-paced environment while being flexible, proactive, efficient and resourceful;
  • Team player with the proven ability to build strong relationships who is capable of influencing individuals at all levels of an organization, as well as external constituents;
  • High level of maturity and empathy; highly developed interpersonal comfort with ambiguity and ability to thrive in a fast-paced, entrepreneurial environment;
  • Knowledge of stakeholder relations principles and strong political acuity;
  • Demonstrated success in meeting public policy goals of an organization;
  • Commitment to Laurentian Universitys mission;
  • Keen understanding of the workings of Laurentian University and/or experience in the post-secondary education sector would be an important asset.
