Job Description

Position Summary:Reporting to the Chief Executive Officer (CEO) & the President, the Executive Assistant (EA) will provide confidential and sensitive executive level support to the CEO and President, consistent with the Organizational strategies, objectives, vision, and policies.Benefits:

Key Responsibilities:
  • Providing executive-level support to the President and CEO while building and sustaining effective working relationships with other areas of the organization
  • Provide high level calendar management with emphasis on proactive planning and follow-up, scheduling/rescheduling internal and external client meetings including organizing logistics, agendas etc., as well as last-minute scheduling
  • Planning and prioritizing meetings
  • Booking and managing travel requirements for multiple associates and events
  • Preparing presentation materials; organizing and planning conference calls
  • Preparing and coordinating venues, materials and catering needs for corporate meetings and events
  • Managing and prioritizing incoming and outgoing calls, requests, and email correspondence
  • Drafting, reviewing and communicating information across the company on behalf of the President
  • Managing incoming and outgoing mail and prioritizing items as necessary
  • Provide a complete secretarial and administrative support function with limited or no guidance
  • Manage hard copy and electronic files and records and maintain an adequate filing system
  • Maintain office supply inventory and other additional supplies as needed
  • Handling and tracking expenses and invoices
  • Managing and assisting with various ad-hoc projects, as assigned
  • Anticipate future tasks and needs and prepare accordingly.
  • Attend and participate brainstorm and idea generation meetings with leadership team
  • Lead and engage meetings with franchise system and frontline (ie: Recruiter’s Meetings, Education and Information Sessions.
  • Lead the introduction of leadership team for virtual webinars and education sessions.
  • Work on ad hoc projects and performing other duties as required.
Requirements:

  • Strong interpersonal skills including flexibility and the ability to work with others in a team environment

  • Technical proficiency and strong problem-solving skills
  • Exceptional organizational skills and impeccable attention to detail
  • Ability to work in a hybrid work model
  • University degree or college diploma or equivalent working experience
