Job Title: Medical Office Assistant (MOA)Location: Halifax Regional Municipality, NSFamily Focus is dedicated to delivering top-quality healthcare services to the community. We are currently seeking a motivated and detail-oriented Medical Office Assistant (MOA) to join our Veteran Assessment Clinic team.Role OverviewAs a Medical Office Assistant, you will play a pivotal role in the seamless operation of our Veteran Assessment Clinic. Your responsibilities will include managing essential administrative functions, supporting healthcare professionals, and delivering outstanding customer service to our valued patients.Key Responsibilities

  • Schedule appointments with veterans within 24–48 hours of contact.
  • Serve as the welcoming and professional frontline representative for the Veteran Affairs division, assisting Nurse Practitioners (NPs) and Registered Nurses (RNs).
  • Report directly to the Business Unit Manager.
  • Create and manage patient profiles/charts in the electronic medical records (EMR) system.
  • Auto-populate forms with patient demographics and clinic information for all veterans.
  • Confirm appointments the day prior, ensuring veterans have:
  • Relevant details about their appointment.
  • Required forms completed.
  • The correct location details for multiple sites.
Ensure completed auto-populated forms are uploaded to the designated DropBox folder under the NP’s name by appointment day.Verify the accuracy and completeness of all forms.Scan completed forms into the veteran’s chart and forward them to the Business Unit Manager.Qualifications
  • Diploma or certificate in Medical Office Administration or a related field.
  • A minimum of 2 years of experience in a medical office or healthcare setting (preferred).
  • Proficiency in Microsoft Office Suite and electronic medical records (EMR) systems.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and the ability to multitask efficiently.
  • High level of professionalism, confidentiality, and attention to detail.
  • Ability to work both independently and collaboratively within a team.
