The Administrative Assistant communicates with employees and families and provides exceptional experiences for those involved in the programs and services. The Administrative Assistant is under the direction of the Director of Programs – DHH and the Coordinator – AIE. This role also: - Provides office management duties for the department- Contributes to the advancement of the department’s information needs by: effectively managing the highly confidential database and filing system; revising/developing new forms as required; arranging to upload them to the APSEA database and to the website- Works collaboratively with the Project Coordinator and Administrative Assistant – DHH and AIE to compile data to assist in the resolution of enquiries, complaints, correspondence and requests that may be received from staff, families, educational and community members- Makes travel arrangements for staff and others as required- Manages and coordinates various virtual meetings and interviews as required.- Maintains a repository of statistical information for reporting purposes alongside the Project Coordinator and Administrative Assistant(s).Diversity, Equity, and Inclusion are among APSEA’s guiding principles. Requirements and Qualifications You Bring: - Diploma or Certificate in business administration or equivalent.- Fluent in American Sign Language (ASL).- Minimum of five (5) years of experience in an administrative role.- Experience with project management, statistical analysis, and data visualization tools, including Microsoft Office 365.- Experience working in a virtual environment.- Exceptional interpersonal and communication skills.- Able to effectively communicate through many methods to provide exceptional front-line customer service- Knowledge of and experience working with community-based services.- Strong work ethic and positive attitude.- Ability to solve problems and mediate conflict with, tact, and diplomacy.- Excellent organizational skills, attention to detail, and ability to maintain accurate records.- Ability to make effective decisions in a fast-paced environment.- Ability to work and communicate effectively with others including employees, learners, families, educational and community partners.- A forward looking individual who proactively seeks new knowledge and skills, who looks for opportunities to improve the organization and experience of learners/stakeholders.- A collaborative mindset, and the ability to exert influence while maintaining strong relationships.- Lived experience/first voice perspective as a signing Deaf person is an asset.- French Language fluency is an asset.- Occasional travel may be required within the Atlantic Provinces, access to reliable transportation is required.Offer of employment is conditional upon the successful completion of all applicable background checks and confirmation of credentials.APSEA is committed to the full inclusion of all applicants.
