Staff work with faculty members to help build a foundation for student success as students prepare, through academics and research, for a career in one of the world’s hottest growth industries. Reporting to the Faculty Administrator, the Academic Program Clerk will provide clerical support to the Faculty’s Undergraduate and Graduate administration teams in the Faculty of Computer Science to support the academic programs offered by the Faculty of Computer Science.Key Responsibilities

  • Create new student files electronically for both undergraduate and graduate students. Archive student files as required.
  • Triage daily both the undergraduate and graduate e-mails through the ticket system queues, assigning tickets to the appropriate program team members, and responding to routine emails.
  • Collect and sort all incoming graduate student application material which is submitted both electronically and by paper, and upload to the appropriate application file.
  • Support the graduate student application process. Calculate applicant GPA, with the assistance of the Graduate team. Verify reference letters. Process deferral requests, maintaining a tracking sheet. Assist in the coordination of applicant interviews.
  • Support other program administrative processes for the degree programs such as checking grade submissions each term.
NoteThe successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.Dalhousie’s vaccine mandate has been suspended at this time, and employees no longer need to provide proof of full vaccination. However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary.QualificationsBusiness/office administration diploma plus a minimum of two years’ related work experience (or equivalent combination of training and experience) is required. Previous work experience in a university environment considered an asset. Demonstrated proficiency in MS Office (Outlook, Word, Excel, PowerPoint) is required with scanning software experience an asset. Must have proven excellent record keeping, organizational and time management skills.
