Our 6,000 faculty and staff foster a vibrant, purpose-driven community, that celebrated 200 years of academic excellence in 2018.Job SummaryThe Department of Family Medicine (DFM) is one of the largest and most complex clinical science departments within the Faculty of Medicine and is dedicated to excellence in patient care, teaching, research, and administration within the discipline of Family Medicine in a distributed learning environment (across three provinces). Reporting to the Medical Education Manager (MEM), the Accreditation and CaRMS Administrator will manage all aspects of the DFM Residency Program accreditation as well as serve as the main point of contact and coordinator for the DFM residency selection process for postgraduate (PG) education through the Canadian Residency Matching Service (CaRMS).Key Responsibilities

  • Oversee all aspects of the internal review and external accreditation of standards of training for the DFM postgraduate residency training program. Act as primary resource for faculty and staff on related matters. Interpret accreditation standards, changes in standards and their impact on the DFM program.
  • Establish and oversee accreditation project timelines, negotiate requirements and resolve issues as necessary. Along with the MEM act as accreditation lead for the national accrediting bodies. Compile and input all program level data as well as review all data for accuracy and omissions; make recommendations for composition and editing.
  • Advise, council and instruct program and site faculty and staff on all aspects of accreditation, including the interpretation of accreditation standards. Prepare and present training sessions for faculty and staff on the accreditation management system (AMS).
  • Serve as a resident selection content specific expert to the Postgraduate Selection Sub-Committee. Regularly relieve the Postgraduate Program Director, Selection Chair and MEM of related routine administrative matters. Prepare and present all ranking information to committee. Prepare statistics and summary reports.
  • Manage all stages of the application review process. Plan and manage CaRMS special events, including Family Medicine CaRMS interviews and information sessions. Recruit faculty, residents and staff needed for various stages of the selection process.
  • Represent the Medical Education Program at various events and communicate and coordinate with a wide range of audiences regarding accreditation and residency selection activities. Act as the liaison for candidates during the annual CaRMS selection period.
NoteThe successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.Dalhousie’s vaccine mandate has been suspended at this time, and employees no longer need to provide proof of full vaccination.   • Undergraduate degree in Business/Office Administration diploma with approximately three to five years relevant progressive experience (or an equivalent combination of training and experience).
  • Demonstrated ability to work independently and multitask in high volume, complex subject areas.
  • Advanced attention to detail, organization skills and initiative.
  • Proven interpersonal and excellent communication (verbal, written and presentation) skills.
  • Demonstrated high degree of confidentiality.
  • Demonstrated advanced computer proficiency required including MS Office (particularly Excel) and Adobe Acrobat.
  • Proven ability to learn and train others on new programs.
Assets
  • Experience with university or program accreditation.
  • Experience with webinar systems (Zoom, MS Teams) or on-line tools. Knowledge of the medical school and technologies such as Dalhousie intranet DalMedix, Brightspace, one45 (online evaluation program) or similar software.
  • Experience with special event planning and implementation.
