This is an office based position reporting to the Executive Director and working alongside another person in the administration team. Key responsiilites include the following:

  • Monitor reception inbox
  • First point of contact for visitors / clients entering the office
  • Answering incoming calls and diverting them accordingly
  • Receive and scan post/couriers to various dept., recording incoming couriers
  • Manage meeting rooms – organize refreshments as required
  • Replenish kitchens with required refreshments
  • Ensure all first aid kits are fully stocked
  • Organising taxis as required
  • Manage access cards for new joiners and add to access control system, delete leavers accordingly and dispose of access card. Quarterly reconciliation reports
  • Update global directory profiles
  • Setting up conference calls and video calls when requested
  • Open windows for ventilation
  • Regular risk assessment walk-through of the office and report any issues to be addressed
  • Manage office stationary
  • Hotel and flight bookings as requested
  • Coordinate offsite archiving
  • Submit credit card statements in T@W
  • Support IT Procurement with new joiner / leaver / existing users IT requirements
  • Organize and record couriers or taxis for delivery / collection of corporate equipment to and from employees
  • Point of contact for booking system
  • Keep a neat and professional reception area
  • Ad hoc tasks
  • Support location lead in coordination of quarterly Town Halls
Qualifications
  • Applications are welcome from candidates with or without experience in a similar role
  • Computer literacy is preferred but not essential
