Job Description

A large global accounting firm here in downtown Halifax is seeking an Administrative Assistant to work in their downtown office, for a period of 3 months. We are looking for a top administrator to start asap.ADMINISTRATIVE ASSISTANTOpportunity: Temporary, full-time hoursLocation: Downtown HalifaxHours: Monday - Friday, between 8:30am - 4:30pm.Advantages

Responsibilities
  • Connecting with people from all of our offices across your region to accurately update and maintain schedules in our scheduling software in a timely manner
  • Assigning appropriate client service personnel to engagements. This will involve assessing the engagement needs, reviewing available options, and recommending people that meet the requirements of the clients
  • Monitoring and maintaining an email account where all scheduling requests are funneled and processed
  • Responding and resolving scheduling requests in a timely manner and facilitate conflict resolution with those impacted
  • Assisting with coordination and onboarding of new hires as needed with the People and Culture Team
  • Working closely with a dynamic team including a Resource Manager and Scheduling Coordinators on prioritization of tasks and projects
  • Providing administrative, reporting and project support to the team as required
Qualifications
  • Proficiency with MS office suite, particularly MS Excel
  • Strong analytical skills, with attention to detail
  • Strong written and verbal communication and ability to interact with all levels within the organization
  • Proven client service focus, with an ability to resolve issues quickly, with a sense of urgency
  • Strong problem-solving skills
  • Flexible in adapting to constantly changing priorities
  • 1+ years experience coordinating and scheduling resources for client engagements
  • Experience using a resource planning application such as MS Dynamics 365 is an asset
