Responsibilities include, but are not limited to: Transcribing a variety of documents (manuscripts, letters, memos, abstracts, research grant applications, protocol applications, etc.); Compiling statistics; reconciliation of financial ledgers; Preparing slides, posters and Power Point presentations; Retrieving journal and book articles from libraries and the Internet; Liaising with outside organizations and Pediatricians,, including via a list server; Scheduling appointments and meetings; Maintaining physician schedules and appointments; Organizing meetings; Filing; Making travel arrangements; Processing claims; Answering phone calls and email messages; Processing mail; Composing correspondence; Entering data and maintaining databases; Photocopying; Maintaining and reconciling grant accounts; Ordering supplies; Other related duties as assigned.Hours of WorkTBDQualifications

  • Minimum High School Diploma or GED required.
  • Graduate of a recognized Office Administration Program required.
  • Minimum 6 months related administrative experience required. One (1) year is preferred.
  • A combination of equivalent education and experience may be considered.
  • Working knowledge of Microsoft Office and other computer programs/technology required (testing may be conducted on candidates).
  • Keyboarding skills minimum of 40 wpm required, 60 wpm is preferred (testing may be conducted on candidates).
  • Excellent multi-tasking, organizational and prioritization skills required.
  • Proven team player with excellent communication and interpersonal skills required.
  • Demonstrated ability to respectfully work with a variety of inter-professional team members required.
  • High degree of initiative, diligence, attention to detail and self-discipline/focus required.
  • Excellent multi-tasking, organizational and prioritization skills required.
  • Experience scheduling appointments and meetings required.
  • Medical Terminology and Dicta Typing experience required.
  • Demonstrated proficiency and experience with Access Database preferred.
  • Experience in bookkeeping preferred.
  • Experience preparing grant applications, manuscripts, protocols and reports including experience using EndNote, Reference Manager or similar programs an asset.
  • Experience organizing travel, case conferences, meetings, guest visits and teleconferences an asset.
  • Experience in Meditech, Outlook, PubMed, DalMedix, Adobe Acrobat and the Internet an asset.
  • Demonstrated experience using university and hospital libraries an asset.
  • Experience using SAP an asset.
  • Committed to continual learning.

  • Competencies in other languages an asset; French preferred.
