Reporting to the Department Chair, the Administrative Coordinator is responsible for the efficient daily operation of the Department of Classics, a multi-disciplinary unit which includes the Arabic Studies and Religious Studies programs. The Coordinator provides front-line service to students and faculty members, as well as support to the Chair of the Department of Classics, and coordinates all administrative processes in support of teaching, research, and undergraduate and graduate programs.Key Responsibilities

  • Maintain working knowledge of the Department and pertinent university policies and procedures to ensure the efficient day-to-day operation of the department office and relieve the Chair of administrative matters.
  • Organize finance-related tasks on all departmental accounts; reconcile expenditures with monthly ledgers, maintain financial records, analyze and explain variances, monitor budget status. Advise Chair on present and future budgetary planning.
  • Provide administrative support to the Chair, Undergraduate Coordinator, Department Committees, Graduate Coordinator, Visiting Speaker Coordinator, faculty members, and students.
  • Coordinate a variety of processes for both the Undergraduate and Graduate programs, including updating and verifying the academic calendar and timetable, maintaining student files and acting as a resource to students and prospective students.
  • Coordinate the timely submission of monthly and biweekly staff payroll information profiles, electronic personnel action forms, exception payment forms, time sheets, etc. for staff and casual employees.
  • Prepare confidential files for Unit Review, Tenure & Promotion, and Reappointment.
  • Supervise student assistants which includes training, delegating duties, setting work priorities, and checking work.

However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary.QualificationsBusiness/Office Administration diploma with three to five years of related experience (or equivalent combination of training and experience) is required. An undergraduate degree is preferred. Experience with administrative functions including financial processes, budget monitoring, and office communications is key. Candidate must be proficient with Microsoft Office Suite (Word, Excel, Outlook), Acrobat Reader, and web-based administrative systems and office technologies. Knowledge of and ability to use Banner, Timetable Assist, FAMIS, Finance Self Serve, and Navigator would be considered an asset. Professionalism, experience in providing excellent service to faculty, staff, students and the public, and excellent written and verbal communication skills are required.Job CompetenciesAdditional InformationDalhousie University supports a healthy and balanced lifestyle.
