Our 6,000 faculty and staff foster a vibrant, purpose-driven community, that celebrated 200 years of academic excellence in 2018.Job SummaryThe Registrar’s Office (RO) is a large, multi-unit, multi-site operation involved in the entire academic experience of Dalhousie students, from recruitment and admissions through to convocation and beyond. Reporting to the Manager, Operations and Special Projects, the Assistant Registrar, Convocation and Special Projects is accountable for all logistical aspects of Convocation ceremonies. The incumbent manages the efforts of various Registrar’s Office staff members to ensure deadlines are met, new initiatives are met, and all aspects of Convocation run smoothly for approximately twenty ceremonies and 4,200 graduates per year. As a member of the Administration team, this position will contribute to the successful execution of high-impact and high-profile special projects.Key Responsibilities

  • Accountable for all administrative aspects of approximately twenty Convocation ceremonies coordinated by the Registrar’s Office including coordination, logistics, execution, and evaluation.
  • Develops and monitors critical paths for all convocation operations to include timelines, logistical details of student and guest related elements, and a full range of support and coordination of services related to convocation. Implements proper protocol and procedures in keeping with the values of the University.
  • Coordinates efforts by various Registrar’s Office staff members to ensure deadlines are met, new initiatives are followed, and all aspects of Convocation run smoothly.
  • Responsible for execution of activities and events related to high-impact and high-profile special projects, with multiple stakeholders, related to core business of the Registrar’s Office.
  • Develops a detailed plan and implements special projects related to strategic initiatives.
  • Manages project scope, schedule, risk management and assessment of special projects, as assigned.

  • Undergraduate degree plus a minimum five years’ related work experience in progressively responsible roles, preferably with organizing special events or in a university setting (or an equivalent combination of training and experience).
  • Demonstrated ability to work under pressure independently with close attention to detail, and the ability to establish priorities in order to meet conflicting deadlines.
  • Excellent communication, organization, and interpersonal skills.
  • Proven professional event planning management with strong leadership skills.
  • Demonstrated ability to work collaboratively.
  • Proficiency in MS Office Suite, web content management and basic publishing tool.
Assets
  • Certificate in Project Management.
  • Familiarity with Banner.
