Our work environments are designed with specific themes in mind to achieve a consistent global identity that reflects our values: simplicity, collaboration, elements of nature, and symmetry.POSITION DETAILSWhat happens when customers stop paying their auto loans/leases What if they don’t have insurance What happens with the auto loan/lease when customers file for bankruptcy If you are familiar with the answers to these questions, here’s a great opportunity for you to join an amazing company in a very exciting role supported by a group of very talented people.The Associate, Collections (Default Management) will report into the Senior Manager, Head of Collections and is responsible for the management and oversight of accounts that are in breach of contract due to being delinquent and requiring repossession of the vehicle, being insurance-deficient, requiring legal collections, requiring collections via a 3rd party agency or being insolvent.DUTIES AND RESPONSIBILITIES

  • Obtain necessary documentation required for a bailiff to seize a vehicle or allow for redemption
  • Assign the file for repossession through the vendor’s web system in order to initiate the vehicle seizure/redemption process
  • When necessary, review validate and approve all costs associated with repossession files (eg. Bailiff fees, storage fees, transportation fees, etc.)
  • Follow up on all open cases in order to obtain the necessary updates regarding seizure or redemption in order to close files and initiate alternate processes if necessary (skip trace, legal collections, etc.)
  • Update accounts in HCCA’s CRM system with all comments and relevant data related to the repossession/redemption status of the account
  • Update the auction vendor’s website with the required information whether it is to put a vehicle on hold for sale or release the vehicle for sale
  • Execute follow-up tasks for insurance-deficient accounts
  • Process Final Notice emails and letters in order to prepare for repossession assignment
  • Obtain the necessary documentation required for a bailiff to seize a vehicle or allow for redemption
  • Assign accounts for repossession through the vendor’s web system in order to initiate the vehicle seizure/redemption process
  • Update accounts in HCCA’s CRM system with all comments and relevant data related to the repossession/redemption status of the account
  • Ensure collections of deficiency balances after insurance payment
  • Charge off applicable balances and update credit bureaus
  • Download monthly invoices from vendors’ different websites, when available
  • Ensure reception of monthly electronic invoices from vendors that do not have a website for that purpose
  • Analyze invoices and validate charges before submitting for payment approval
  • Reconcile applicable differences/mistakes with vendors
  • Reconcile payments made by HCCA Finance vs the corresponding PO budget per vendor
  • Collaborate with Recovery Manager when preparing annual expense budget for vendors
  • Ensure all invoices are electronically saved in a shared location in the HCCA server
  • Manage the thru-billing process in order to add any necessary miscellaneous charges to customers’ accounts
  • Process all waivers of fees in customers’ accounts
  • Create all payment deferral confirmation letters
QUALIFICATIONS
  • College degree preferred
  • High school degree (must)
  • Experience within automotive finance or captive company with an understanding of leases and loans
  • Experience with insurance companies or has been involved in insurance claims processes
  • Previous involvement with operations related to repossession of vehicles
  • Advanced user of the LOS and V8 systems
  • Understands the generalities of auto lease agreements and conditional sales contracts and is able to refer to specific sections that are related to the day-to-day operations of the role
  • Subject matter expert in lease and loan operations in a captive company
  • Capable to work through situations that have no defined process and find a proper solution that satisfies the requirements
  • Ability to prioritize responsibilities to manage all tasks in an efficient way which prevents them from becoming urgent
  • Requires little supervision to execute all responsibilities, including multitasking, in order to deliver on time and with the required level of detail and accuracy
  • Ability to transfer knowledge in an easy and effective way, allowing team members to understand what is expected from them and how they can continue growing
  • Ability to build bridges across the different teams in the company, paving the way for a two-way collaboration
  • Works hard to understand and develop the highest possible level of emotional intelligence, being able to keep emotions aside
  • Ability to manage conflict and build strong relationships with all team members alike
