This department is a perfect fit for those that want to be part of the future of early learning and public education in the province by supporting student learning in a progressive and responsive policy environment.About Our OpportunityReporting to the Executive Advisor to the Deputy Minister, the Communications and Correspondence Clerk is accountable for identifying news and media coverage regarding departmental issues, as well as the monitoring of a large volume of correspondence for the Office of the Minister. As the Clerk, you identify trends in correspondence and help ensure timely responses.The Communications and Correspondence Clerk provides administrative support for two senior staff, the Executive Advisor to the Deputy Minister, and the Director of Communications, as well as provides support to the Communications Team. In this role, you draft and edit correspondence as needed, with consideration of content input of program staff.Primary Accountabilities

  • Initiate draft correspondence from senior management, and ensure the responses are within department’s policies, procedures, and guidelines.
  • Monitoring of media coverage and correspondence. Scans contents of media coverage daily and distributes in a timely manner to government staff, internal and external education stakeholders.
  • Develop and regularly updates stakeholder lists.
  • Assists departmental staff on required content for ministerial correspondence and coaches and mentors’ staff throughout the department to maintain consistent high quality and professional image of the department.
  • Organizes and schedules meeting requests, provides routine admin support to Communications staff and Executive Advisor to the Deputy Minister.
  • Handles information of a sensitive nature and ensures respect for confidentiality.
  • Provides admin support for various committees.
  • Other duties as assigned.
Qualifications and ExperienceAs the successful candidate, you have strong organizational skills, the ability to be flexible and multi-task to meet deadlines as well as possess strong writing skills, initiative, good judgment, interpersonal and leadership skills. You work well independently with minimum supervision, as well as contribute to a team environment. Strong communication skills, both written and verbal is mandatory to enable preparation of correspondence and responses to inquiries.You also have proficiency in typing, proof-reading is essential as is a comprehensive knowledge of computer applications such as MS Office (Outlook, Word, PowerPoint, Excel) and filing/retrieval systems.   • Normal work week is 35 hours/week, 7 hours/day.
