Job Description

SummaryDSAS is hiring an Internal Relations Manager for the term of May 1st, 2022 – April 30, 2023, or September 1st, 2022- April 30th, 2023. DSAS is an organization that advocates for students navigating academic and non-academic University policies and procedures. The Internal Manager is responsible for ensuring students receive the best representation possible. They manage the intake process for hundreds of cases per year (approximately 500 in 2020/21) and are primarily responsible for connecting students with advocates. This position requires detailed knowledge of the discipline and appeal system at Dalhousie and a strong desire to advocate for the rights of students. This position supports the External Manager in their duties and takes on complex and serious cases where time or advocate experience is critical.Summer Duties

  • The DSAS External Relations Manager has the option to elect to work in the Summer Manager position, for duties see the Summer Manager position;
Fall/Winter Term DutiesCase Management
  • Manage case intake process;
o Respond to client requests for support and guide them through the intake processo Ensure all necessary information is provided and organized in intake systemo Review individual cases for specific issues, and to respond to advocate questionso Assign advocates in a timely manner; reassign or take on the case where necessary
  • Manage and support advocates and the AI process;
o Ensure advocates have the required information and necessary support to be successfulo Support advocates who encounter difficulties and respond to advocates needso Work closely with Engagement Coordinator to manage mentorship of advocates and overall case load (both AIO and SDC)o Effectively manage overall DSAS caseload both academic and non-academic
  • Take cases where and when necessary
o Be prepared to take on many cases either because of advocate availability or because of time constraintso Complex cases may require itCase Advocacy
  • Liaise with AIO’s, administrative support staff, Assistant Deans and Coordinator of Discipline and Appeals to manage case volumes, identify and rectify issues in the process;
  • Renegotiate case processes where appropriate;
  • Record keeping
o Track intakes to know advocates being assigned, originating faculties and types of allegationso Track case progression and timelines for case resolutiono Track outcomes of cases to identify problem faculties and types of allegations being investigatedExternal Advocacy
  • Meet regularly with the Vice-Provost Student Affairs to address systemic issues;
  • Communicate with members of the University including (but not limited to): Vice Provost Student Services, Faculty Deans, AIOs, Student Conflict Office, Office of the Ombudsperson, Human Rights Equity and Harassment Office and Equity Services
  • Serve as the liaison between the Service, the University, and the Ombudsperson;
  • Meet regularly with the Ombudsperson to keep them apprised of systemic issues and ongoing cases of note;
Internal Duties
  • Work with External Manager to organize and execute training (academic and non-academic) and deliver regular updates to all advocates
  • Work with Policy Coordinator to ensure all university policies, relevant contacts and written precedents are easily accessible for advocates as well as to schedule office hours for advocates and the Executive
  • Work with the Engagement Coordinator to ensure advocates receive opportunities to shadow both AIO and SDC cases and those advocates are supported when taking on their own cases
  • Prepare an annual report concerning their duties to be submitted to the Executive Director External no later than April 30, 2023.
Qualifications and Skills:Required:
  • Current Schulich School of Law student;
  • Current (or former) DSAS volunteer
Recommended:
  • Excellent organizational skills;
  • Proficient in the Microsoft suite including Outlook, One Drive, Excel;
  • Experience managing volunteers;
  • Good client-relations skills;
  • Demonstrated ability handling different types of cases (AIO, SDC, Academic Appeals, Residence, Student Code of Conduct, SVP);
  • Strong communication skills;
  • Ability to work independently;
  • Self-motivated;
  • Strong commitment to DSAS mandate;
  • Demonstrated commitment to anti-oppressive practices.
The DSU is the Internal Relations Manager for the 2022-2023 term of May 1st, 2022 – April 30, 2023 at $15.00 per hour for 30hrs weekly during the Fall and Winter term, with the option to elect to work for the Summer Term at $18 per hour for 35hrs weekly.Deadline for Application: April 4th/ 2022 at noonWe thank all our applicants for taking the time to apply.
