Reporting to the Dean and Assistant Dean (Administration) the Executive Assistant (EA) provides senior level administrative coordination, responsible for managing the daily operations of the Dean’s Office and the Rowe building and providing leadership in event and community building initiatives.Key Responsibilities

  • Offers exceptional first-point-of-contact assistance and problem-solving for visitors, employees and students.
  • Supports departments and programs in solving facilities-related issues, manages space renovations, space planning and office moves.
  • Manages calendars, space bookings and meeting preparations.
  • Plans and executes celebrations and awards, and stewards community building initiatives.
  • Prepares meeting agendas, materials and minutes.
  • Provides support and supervision to student employees.
NoteDue to operational requirements, the successful applicant is required to work primarily in-person on campus.Dalhousie’s vaccine mandate has been suspended at this time, and employees no longer need to provide proof of full vaccination. However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary.Required Qualifications
  • Advanced Diploma or Undergraduate degree with approximately five years of progressive, relevant experience (or equivalent combination of training and experience).
  • Experience in a university setting is required (preferable Dalhousie), as is experience administering multiple projects simultaneously.
  • Demonstrated initiative, and exceptional organizational and problem-solving skills.
  • Demonstrated capacity to work autonomously and thrive in a fast-paced environment.
  • Demonstrated strong interpersonal and communication (verbal and written) skills working with individuals at all levels.
  • Proficiency in Microsoft Office with advanced skills in Outlook and the demonstrated ability to learn new technology and programs.
