Job Description

We are hiring an Office Assistant to welcome visitors and take care of general administrative tasks. In this role, you will receive guests, answer phones and schedule meetings. You will also maintain inventory, provide information to employees and ensure a clean work environment. Office Assistant responsibilities include taking care of supplies, preparing mailings and copying documents. You should be detail-oriented, well organized and able to handle several tasks simultaneously. Since you will deal with both internal and external customers or clients regularly, we also need evidence of your organizational skills. You will use computer software (e.g., word processing) to complete tasks efficiently. Ultimately, the goal is to act as a friendly intermediary between businesses or individuals that have their own agendas and needs for our company.Responsibilities:

  • Assist with general office duties including answering phones, data entry and filing.
  • Provide support to office staff in daily operations and projects.
  • Greet and direct visitors and maintain security in reception areas.
  • Serve beverages and maintain refreshments at meetings, conferences and other events.
  • Manage stationery supply for the office and print documents when necessary.
  • Arrange transport for visitors, employees and executives.
  • Answer questions regarding updates on policies and procedures.
  • Assist management on managing projects.
  • Order supplies, materials and equipment to be delivered to the office in a timely manner.
