This is an exciting time for Cove and we are looking for someone to help us continue building our brand presence in our home market.Job DescriptionLogistics and Supply Chain Coordinator at Cove:We are looking for someone who has high attention to detail, can take accountability for their role and commitment to the growth of the brand, and is adaptable to all the moving pieces involved with this position. This person must be dedicated to ensuring a steady flow of operations for our productions and ensuring all finished goods are delivered on time.The responsibilities below are applicable for both Canada and US markets.

  • Receive records and copies of sales orders and communicate to the 3pl partner and ensure proper shipping procedures based on costumers’ specifications.
  • Ensure proper appointments are made for on time order delivery to customer.
  • Communicate order delivery status directly to customer in relation to stock issues and shipments delays as needed
  • Work with the 3PL partner on daily basis to process and fulfill purchase orders.
  • Monitor order preparations including, picking, packing, palletizing, and proper shipping documents.
  • Maintain order and invoice data entry in order records daily.
  • Maintain close communication with manufacturer and 3PL partners and freight forwarders on daily basis to coordinate production, shipping and receiving, order fulfilment and inventory management.
  • Monitor finished goods inventory levels and ensure accurate live inventory records are captured by 3PL.
  • Monitor and manage stock level and ingredients transport at and between the warehouse and manufacturer.
  • Ensure proper receiving and storage for ingredients at the warehouse and manufacturer.
  • Manage, monitor, and follow up with all stock level and inventory
  • Perform regular stock inventory verifications and maintain stock records
  • Verify inventories taken against warehouse 3PL system and investigate discrepancies
  • Initiate ingredients and components re-orders as required
  • Maintain communication with suppliers to ensure ingredients availability, on time and cost-effective purchasing strategies and optimizing shipping costs to warehouse.
  • Coordinate order/ reorder and transfer ingredients between warehouse and manufacturer based on production schedule, required amounts and lead times to ensure manufacturer is well supplied on time for production.
  • Help sourcing new ingredients and suppliers.
  • Provide proper instructions to manufacturer and warehouse to maintain quality, smooth production and on time delivery to customers.
  • Coordinate all e-commerce activities and direct to consumer deliveries with the 3pl partner.
  • Keep accurate and up to date records of ingredients, components and finished goods documents including, purchase orders, invoices, and quality assurance documentation.
  • Suggest opportunities for cost saving and logistic optimizations
  • Ensure overall operations purchasing activities in a cost effective
and timely manner. Monitor and coordinate entire purchasing cycle from sourcing, RFQ, PO, expediting, receiving, storage and batching.
  • Update and maintain database on purchases, price changes, ingredients life cycles and suppliers QA documentation.
  • Co-ordinate receipt of shipping documents, invoices, COAs and inbound notices.
  • Maintain monthly reconciliation of shipments as required.
  • Work within, and ensure adherence to Quality System procedures, work instructions and other Quality System requirements.
