Our 6,000 faculty and staff foster a vibrant, purpose-driven community, that celebrated 200 years of academic excellence in 2018.Job SummaryAncillary Services delivers various services to students as well as to the greater Dalhousie and business community including: on-campus residence, food services, university bookstores, conference services, off-campus housing listing service, university ID (DalCard) among others. Reporting to the Assistant Directors, Facilities Operations, the Manager, Front Desk Operations is accountable for the management of the daily operations of the residence building front desks. The position is essential in ensuring that the 24/7 operations are consistent for all buildings, and that all residents and conference guests receive reliable and consistent information and service.Key Responsibilities

  • Ensures the day-to-day operations are seamless through effective scheduling/coordination of staffing, projects as well as maintenance work for building operations and conference services. This is a year-round operation requiring strong skills in scheduling/coordination and project experience to be successful.
  • Works with IT and Kx technicians and implements policies and procedures for the operational systems, e.g., key control system, check in/out, use of facilities, Kx. This is a highly critical component as it is vital for the safety of the guests and residences
  • Manages access control, including the coordination of the key and card access system for all residence buildings. Makes recommendations to the Assistant Directors, Facilities as appropriate or required.
  • In summer, manages the day-to-day front desk operation in residences this is required for the provision of Residence/Hotel Accommodations for residence students, conference groups, tourist business and summer students. Manager must be available after hours for emergencies (24/7) i.e., client concerns, for example addressing substantial risk behaviour resulting in eviction, and other issues
  • Oversees the financial management of the Front Desk operations (daily deposits, and journal entries etc.) for the academic year and in summer.
  • Directly manages four unionized Front Desk Supervisors employees, also responsible for the management of 25 plus full-time student staff members.
NoteThe incumbent will be required to work Labour Day weekend in August/September as part of residence check-in. The role also requires the person to be available as an on-call resource when needed.The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.Dalhousie’s vaccine mandate has been suspended at this time, and employees no longer need to provide proof of full vaccination. However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary.QualificationsDiploma in Business Administration or related field, plus three to five years’ experience in project management, human resources, financial administration and hotel/tourism operations, preferably in a university setting (or an equivalent combination of training or experience) is required. An undergraduate degree is preferred. Project Management or Hotel/Tourism certification is considered a strong asset. The incumbent must have demonstrated the ability to work under pressure, meet deadlines, and function at a high level with minimal direct supervision. Supervisory experience is a must. A high degree of interpersonal communication skill is necessary, and the incumbent must maintain a high level of confidentiality. Advanced computer training and/or experience in information systems is required (spreadsheets, databases, internet, Kx or equivalent student accommodation and event management solution and Banner Production or equivalent).Job CompetenciesThe successful candidate is expected to demonstrate proficiency in Dalhousie’s core and leadership competencies (https://www.dal.ca/dept/leaders.html), in particular:
