Our 6,000 faculty and staff foster a vibrant, purpose-driven community, that celebrated 200 years of academic excellence in 2018.Job SummaryThe Department of Biology is within the Faculty of Science and offers both undergraduate program, graduate programs and have a number of biology and marine biology programs. Reporting to the Administrative Officer, the Office Coordinator ensures the efficient day-to-day operation of the main Biology departmental office, supervising the department’s receptionist position, while managing a significant range of Payroll tasks and is a key member of the timetabling team.Key Responsibilities

  • Liaise with the Administrative Officer regarding improvements, necessary changes and/or problems within the office in relation to procedures, equipment, staff, etc.
  • Work with supervisors and new employees to prepare all needed documentation and submit to Human Resources to ensure the employee is set up in the payroll system in a timely manner and approve bi-weekly timesheet submissions.
  • Provide guidance to supervisors on current Human Resources and Payroll policies and assist in resolving any issues that may arise or make any needed adjustments.
  • Act as resource person for faculty, staff and students on university and departmental policies and procedures.
  • Work with the Administrative Officer to provide financial management and reporting which includes, but not limited to budgets, reconciling monthly expenditures, track and reconcile the department’s Student Employment Program (SEP) funding etc.
  • Coordinate, review and edit the department’s academic timetable.
NoteDue to operational requirements, the successful applicant is required to work in-person on campus.Dalhousie’s vaccine mandate has been suspended at this time, and employees no longer need to provide proof of full vaccination. However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary.Required Qualifications
  • Business/Office Administrative diploma with approximately three to five years’ of related work experience (or equivalent combination of training and experience).
  • Proficiency in MS Office (Word, Outlook and Excel).
  • Solid client-service, teamwork and communication skills.
  • Must demonstrate excellent record-keeping and time management.
  • Demonstrated ability to work independently in a busy office environment while maintaining accuracy and attention to detail.
Assets
  • Previous experience with sharepoint and/or familiarity with university and academic regulations and processes.
  • Experience with the Dalhousie University Payroll policies and procedures.
  • Experience with the University’s academic timetable system.
