Reporting to the Administrative Manager, the Practice Experience Program Secretary will organize and manage administrative functions of the Practice Experience Programs (PEP).Key Responsibilities

  • Support student fieldwork site placement process. Prepare site requests and submit to PEP Coordinator for review. Communicate with existing/identified sites. Track placements and liability insurance information. Organize and maintain a range of site-related data and documentation.
  • Coordinate and track site visits for quality assurance purposes. Ensure timetable entries and course enrolments are correct for PEP. Complete reports from data from the site visits to meet accreditation standards.
  • Distribute PEP materials to students. Collect, track and store student documentation required for placements. Verify student licensing requirements with provincial pharmacy regulatory authorities are met and students fulfill site-specific onboarding requirements, contacting students as required.
  • Ensure student submission of all required assessment and evaluation materials and follow-up with students as needed.
  • Serve as a general support to students including providing information regarding policies, timelines, requirements, assessment tools, resources. Answer general site and preceptor questions. Redirect queries to appropriate PEP team member as required.
  • In a back-up capacity (breaks, lunches, vacation, etc.) perform College of Pharmacy reception duties. Assist other administrative staff in back-up capacity and during occasional peak periods.
NoteThe successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.Dalhousie’s vaccine mandate has been suspended at this time, and employees no longer need to provide proof of full vaccination. However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary.QualificationsBusiness/office administration diploma with approximately two to three years’ related experience (or equivalent combination of training and experience) is required. Experience with content/course management systems, as well as website content development and maintenance is preferred. Must have demonstrated strong communication (verbal and written) and interpersonal skills. Proven organizational and prioritization skills and the ability to work independently are required. Proficiency in MS Office (Word, Excel, Access, and PowerPoint) with the demonstrated ability to learn new programs is required.Job CompetenciesAdditional InformationDalhousie University supports a healthy and balanced lifestyle.
