Diverse curriculum, leading specializations, and internationally recognized faculty provide exceptional opportunities in all facets of legal education. Reporting to the Administrative Officer and the Director of Career Development andEmployer Relations, the Receptionist and Office Assistant is the initial contact person for faculty, staff, students, alumni and visitors to the Schulich School of Law. This includes in-person, phone and email contact for the Reception, Admissions and Career Development Office.Key Responsibilities

  • Receive building maintenance requests from building occupants of the law school building and create work orders in FAMIS to resolve the issue, follow-up to ensure matter is resolved, maintain records.
  • Coordinate event logistics for approximately 2-3 events a week. Handle arrangements for courier pick-ups and delivery duties and prepare monthly invoices to faculty grant holders.
  • Receiving, entering and posting available jobs. Track job application deadlines and remove job postings as required. Contact law firms, use law job websites, and portal systems as required.
  • Update and maintain the Career Development Office Brightspace page, MySchulichLaw, Instagram account and billboards, ensuring accurate information around recruitment dates, Career Development Office announcements etc.
  • Responsible for entering Electronic Personnel Action Form for all of the administrative staff within the Law School and Law Library and entering Courtesy Access requests for visitors to the Law School as directed by the Dean’s Office.
  • Prepare correspondence, reference letters for students, memos, reports, course materials, lecture notes, research materials etc.
NoteDue to operational requirements, the successful applicant is required to work in-person on campus.Dalhousie’s vaccine mandate has been suspended at this time, and employees no longer need to provide proof of full vaccination. However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary.Required Qualifications
  • Business/Office Administrative program with approximately three years’ related experience (or equivalent combination of training and experience).
  • Proficiency in Microsoft Office (Outlook, Word, Excel).
  • Demonstrated ability to prioritize and meet demands in a busy, deadline-driven environment with excellent attention to detail.
  • Excellent interpersonal, communication (written and verbal) and organizational skills, and attention to detail.
Assets
  • Experience working in a client-oriented environment and event planning and organization.
