Join CBI Health and find where your better begins.About this opportunityThe Records Clerk, reporting directly to the Director, Contract Delivery Enablement, responds to records requests from clients, lawyers, funders, employees, etc. as appropriate. The Records Clerk ensures a positive experience of CBI Health for those external stakeholders by managing effective communication and ensuring timely and accurate responses to request. This role demonstrates consistent excellence in customer service, adherence to privacy standards, and compliance with CBI Health policies, and other regulations.Take an inside look at what you #39;ll do each day:

  • Point of contact for clinical record requests (i.e. Chart copies) from clients, lawyers, funders, etc.
  • Ensure all requests are provided within the required legislated time frame.
  • Utilizes effective and courteous communication skills to respond to record requests, and collects relevant information to complete requirements.
  • Ensure appropriate authorization for all requests prior to providing any records.
  • Review the request and ensure it conforms to authorized parameters.
  • Ensues request tracking is fully and accurately completed.
  • Manages multiple requests nationally and effectively prioritizes them under the direction of the Director, Contract Delivery Enablement.
  • Actions record requests by pulling records from systems (i.e. Clinicmaster) and coordinating with Experience Associates in clinic to obtain paper copies of files including recalling records from external storage.
  • Prepares electronic documents for sending while ensuring quality and accuracy and directs Experience Associates in the preparation of all paper files/copies.
  • Communicates with clients, lawyers, funders, etc to acknowledge receipt of request, updates them on progress of request, works with Experience Associate coordinates delivery of records and completes invoicing.
  • Identifies possible enhancements on the process flow and follows up with Director, Contract Delivery Enablement, on continous improvements to the process of record sharing.
  • Supports and consults with Regional Privacy officers regarding local requirements and funder requirements.
  • Supports Director, Privacy and Regional Privacy officer with external stakeholder audits, reporting and attestations as required.
  • Effective problem solving with sensitivity regarding difficult requests and appropriate escalation.
What you need to be successful:
  • Minimum Grade 12 education
  • Minimum 1 year of experience in an administrative role, preferably in a Health Care setting.
  • Experience in a similar role an asset.
  • Credentials or training under CHIMA or IAPP an assett.
