We proactively respond to environmental, conservation, farm animal welfare, and human health risks and work to develop programs and deliver services to enhance protection in these areas.Nova Scotia Environment - DepartmentAbout Our OpportunityAs the Records Technician in the Information and Support Services Unit within the Policy Division you will assist with the electronic creation, classification, scheduling, and disposition of departmental records. You will be responsible to enter data into FileNet and Excel spreadsheets; provide records management client services, such as conducting database searches and file retrieval; maintain statistics; respond to information inquiries; and complete other duties as required.Primary AccountabilitiesRecords Technician will be responsible for:

  • Creating and maintaining files in our electronic record-keeping systems;
  • Ensuring standardized records management procedures are followed;
  • Assigning and confirming the accuracy of classification numbers, file names, and file numbers provided by clients while maintaining the security and confidentiality of records;
  • Responding to records requests in a timely manner, such as those requested by staff in 10 other offices across the Province, and those related to Freedom of Information and other records requests;
  • Preparing and ensuring the accuracy of records disposition paperwork, and coordinating the transfer of records for storage, archival appraisal, or destruction in accordance with approved records classification and retention schedules;
There will also be the opportunity to regularly consult with and support departmental and regional and district office staff, as well as staff at Nova Scotia Archives, corporate Records Management, and the Nova Scotia Records Centre.Qualifications and ExperienceTo be successful within this role, you will have four years of related experience, or an equivalent combination of training and experience may be acceptable.Additionally,
  • You also have experience providing high quality client services, excellent oral and written communication skills, and experience working independently, and as part of a team.
  • You are highly motivated, possess a high level of accuracy, and have strong organizational and analytical skills.
  • You take the initiative and are comfortable working independently.
  • Experience using Microsoft Excel, Word, and Outlook, and electronic record-keeping systems, databases, records classification and retention schedules, and records management procedures is essential.
The following will be considered assets:
  • Experience with STAR/STOR classification system;
  • Experience with FileNet

  • Heavy lifting of boxes of files up to 30 pounds is required.
  • Crouching, kneeling, bending, and reaching is required, as files may be stored on low and high shelves.
  • Occasional travel to district and regional offices throughout the province is also required.
Additional InformationThe position is located in downtown Halifax and is an in-office position. The Records Technician also receives clients and deliveries from couriers at the main door and assists with mail services when needed.What We Offer
