Our 6,000 faculty and staff foster a vibrant, purpose-driven community, that celebrated 200 years of academic excellence in 2018.Job SummaryThe Department of Family Medicine strives to provide leadership by advancing the discipline of family medicine through education and research in primary health care, teaching family medicine residents and medical students, and demonstrating our commitment to lifelong learning and the dissemination of knowledge to Maritime family physicians. Reporting to the Medical Education Manager (MEM) and the Curriculum and Evaluation Coordinator (CEC), the Scheduling Coordinator will be responsible for the preceptor recruitment, arrangements of, and all communications and coordination required for, the undergraduate tutor recruitment (Med 1 – 4) and clinical rotation experiences for Med 3 core clerkship rotations, Med 3, 4 and 5 elective clerkship rotations and resident community rotations with the HRM and surround areas .Key Responsibilities

  • Arrange all undergraduate core clerkship (Med 3) and elective rotations (Med 3, 4 and 5) in collaboration with faculty preceptors, Family Medicine and other sites, as well as with Districts within NS, PEI and NB. Arrange the HRM, Halifax rural and community site postgraduate community/rural clinical learning experiences for all Halifax Site residents and other sites’ residents as required.
  • Develop and coordinate the tutor recruitment process for the Med 1 and 2 case-based learning curriculum. Work with the Physician Resource Officer (PRO) to coordinate and schedule the mandatory Med 1 six-week clinical learning experience with preceptors within HRM.
  • Liaise with preceptors and staff at all sites across NS and PEI to collate availability for learner rotations. Communicate with all learners regarding their rotations. Continuously accommodate changes and updates, ensuring all stakeholders are kept up to date regarding placements.
  • Ensure compliance to all scheduling guidelines including Department and Faculty guidelines and policies. Work with the CEC and PRO to identify trends, statistics and improvements and innovations for the clinical rotation scheduling processes and systems.
  • In consultation with the CEC and Clerkship Director, provide orientation information and reminders to both learners and preceptors for new rotations. Ensure on-going management of the Clerkship Med 3 core webinars including ongoing faculty and resident recruitment, checking attendance and follow-up.
  • Manage the development, information on, and utilization of, preceptors for teaching learners. Ensure coordination of usage of all available preceptors. Work with the PRO to coordinate recruitment administration of new preceptors.

However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary.QualificationsBusiness/office administration program plus approximately three to five years’ related experience (or equivalent combination of training and experience) is required. Proven experience and expertise in scheduling is required. Must have strong computer skills, including email management and MS Office suite (Excel, Word, Access) with the demonstrated ability to learn new programs and superior proficiency in spreadsheet (Excel) management. Must have demonstrated attention to detail, organizational and multi-tasking skills, and the proven ability to work both independently and in a team environment. Excellent interpersonal and communication (verbal and written) skills are required.
