Job Description

About the Dalhousie Student Union (DSU): The DSU represents the collective voice of over 18,000 students in Halifax, Nova Scotia. The DSU advocates for student rights, builds community on campus through events, supports over 300 societies, and provides focused services to foster a supportive and positive student experience. Student Societies Coordination

  • Operate in accordance with the DSU By-laws and Policies, and work with the DSU Policy and Governance Coordinator to ensure societies are in compliance with the Society Policy, Equity Policy and other relevant policy.
  • Facilitate the application process for the ratification and re-ratification of societies.
  • Perform duties related to Risk Management for societies, including the education of societies on matters related to risk management
  • In cooperation with the Vice-President Finance and Operations, conduct audits for faculty and levy societies. Maintain records of constituent society audit processes for each faculty, and when necessary, assist Treasurers of constituent societies in navigating audit processes.
  • Hire, train and manage part-time staff , who will perform society-related duties including but not limited to ratification processing, grants processing, and events support. Maintain historical information about societies by recording and reporting on usage statistics for services, programs and special events, and by maintaining accurate records of the ongoing operations of the student societies.
  • Sit as a non-voting advisory member of the Grants Review Committee to answer questions about events and assist with follow-ups and processing, where required.
  • Work with the Society Review Committee and/or relevant executive members to develop and maintain a work planfor society access to offices, lockers and mailboxes.
Student Societies Training
  • Coordinate the administration of Societies Funding, Primary Event Organizer (PEO), Risk Management and other training sessions with the relevant executives each year.
  • Support societies to develop society constitutions, and maintain the level of knowledge required to provide constitution support when needed.
Events and Programming Coordination
  • Assist in planning and implementation of all major DSU events, including Orientation, Society Expo and other programming as assigned by the Director and Executive.
  • Contribute to a dynamic campus community by assisting societies with special events, including cultural events and issues-based awareness weeks, and maintain a community network of potential supporters and event partners.
  • Assist student societies with event planning outside of the SUB as required, and assist with the organization ofSociety Roundtable events.
  • Attend DSU events to facilitate operations and respond to emergencies, problems, and other issues; ensure that all aspects of events are implemented and controlled according to plans as directed by the Director of Research and Outreach.
Duties may be expanded to other functions as assigned by the DSU Director of Research and Outreach.Qualifications:
  • Bachelors degree (B. A.) from a university and at least 1-2 year of experience as an executive at a society or student union at a post-secondary institution; or equivalent combination of education and experience.
  • Possesses excellent oral and written communication skills, and a strong attention to detail.
  • Demonstrated ability to thrive under pressure in a fast-paced environment, including excellent organizational skills and time management skills. Must be able to prioritize and meet deadlines.
  • Demonstrates knowledge of and experience working with society governance structures, constitutions and/or bylaws,
  • Demonstrates knowledge of contemporary student issues on campus.
  • Must exhibit diligent work ethic, ability to take initiative, good decision-making skills and ability to resolve issues accurately and efficiently.
  • Excellent interpersonal skills and ability to work well with all stakeholders, including direct customer service and/or membership-related management experience.
  • Demonstrated ability to maintain confidentiality at all times.
  • Demonstrated ability to quickly learn new online collaboration software, including the Microsoft Suite, Airtable, and/or other software used by the DSU.
