In some cases, responsible for supervising Trust Administrators and other support staff. The portfolio will generally be comprised of accounts not requiring financial advice.Major Activities:1. Develop and maintain a professional client relationships primarily through professional administration of client accounts.

    • Meet Interact regularly with clients and beneficiaries and/or their lawyers, accountants, and financial planners to discuss the investment portfolio, account administration, and objectives, applying relationship management skills.
    • Supervise Oversee accounts investments tto ensure adherence conformation to client objectives/instructions, trust documents and legislative restrictions.
    • Liaise directly with lawyers, accountants, and other advisers as necessary in matters relating to the administration of estate, trust, and agency power of attorney accounts; follow through on instructions; recommend distributions to beneficiaries.
    • Monitor cash balances, overdrafts, and client transactions daily, maintaining diaries for remittances, tax payments etc. to ensure that accounts are managed effectively, that excess funds are invested, and shortfalls are covered.
    • Monitor clients investment portfolio for asset mix and performance to ensure that objectives are met and implement any corrective action required.
    • Meet regularly with more senior trust officers to review clients portfolios and ensure stated objectives and legislative requirements are met.
2. Carry out administrative functions in support of clients objective stake ownership of client account administration. May be required to:
    • Open and close accounts.
    • Prepare necessary documentation to deposit, re-register, or redirect interest, dividend payments, securities, and other remittances.
    • Research information,, prepare documents, letters, and forms.
    • Prepare investment performance evaluations. Engage partners (RTMs, Tax, Investment Management, Property Management) as appropriate to meet client needs.
  • Solve problems as they arise.
3. In some positions, Participate in the supervision and/or development of Trust Administrators and other support staff as required.
    • Assist in supervising workflow and completion of work.
    • Assist in the development of Trust Administrators through mentoring and coaching.
4. Ensure knowledge of trust industry, tax law, and investment strategies are kept current by participating in seminars and discussions; studying periodic articles offered by the professional organizations, tax planners, investment counsellors, etc.; and through regular contact with more senior level trust officers.5. Adhere to all CIBC Trust Policies & Procedures including: cash management, AML, account opening, CLIPs, QI, etc.; process requirements, and established estates & trusts guidelines, Accountable to mitigate risks identified and make recommendations and decisions in accordance with sound regulatory principles and in compliance with CIBC Trust Policy & Procedures and Pricing Guidelines.Knowledge & Skill Requirements:
  • Detailed working knowledge of administration of all types of estates, trust administration, and personal holding corporations, typically obtained through a minimum of three years experience in the trust industry.
  • Working knowledge of trust accounting, financial planning, budgeting, and investing sufficient to serve client needs.
  • Knowledge of PC Software and mainframe applications sufficient to enter and access customer information.
  • Working knowledge of CIBC operations and in particular those related to wealth management products.
  • Detailed working knowledge of current tax, trust, and family law legislation and other relevant regulatory requirements sufficient to effectively communicate with clients and their advisors.
  • Developed presentation/interactive skills sufficient to communicate with clients with sophisticated needs, staff, and outside business professionals.
  • Developed influential/interviewing/relationship management skills sufficient to build strong relationships with clients whose needs are sophisticated, and to negotiate on CIBCs behalf.
  • Developed writing skills sufficient to prepare correspondence containing detailed descriptions, explanations, and specialized terminology.
  • Well-developed organizational skills, particularly the ability to prioritize.
  • Knowledge of Ontario trust and estates law is an asset
  • Enrollment in Canadian Securities Course with successful completion within one year of hire.
  • Enrollment in London Chartered Institute of Bankers with 50% completion at time of hire (applicable for International Private Banking only).

Contacts:
    • Regular contact with wealthy/upscale clients including their executors, trustees, beneficiaries and other family members.
    • Regular contact with lawyers, accountants, and other business professionals.
    • Occasional contact with investment brokers and financial planners.
    • Regular contact with International Private Banking, CIBC Trust, CIBC Securities, TAL, CIBC Wood Gundy, etc.
  • Frequent interaction with internal partners (RTMs, Tax, Investment Management, Property Management etc.)
Job Complexities/Challenges:
    • Developing and maintaining a professional and personal relationship with clients and beneficiaries.
    • Maintaining currency of tax, financial planning and investment legislation along with changing investment strategies sufficient to discuss these issues with clients and their advisors.
    • Addressing customer complaints, utilizing the opportunity to build relationships.
    • Dealing with competing priorities and maximizing use of time.
