Job Description

Payroll ManagerCKF Inc. has five manufacturing facilities located across Canada, and one in the USA with a total workforce with more than 800 employees. Our operations produce foam, plastic and molded pulp products including disposable tableware, egg cartons, four-cup carriers, and a wide variety of other products for the food service industry.CKF Inc. has an interesting opportunity for this corporate role working out of the Hantsport office and reporting directly to the Manager of Human Resources. This position works directly and corporately with all Payroll personnel to meet the payroll goals and deadlines. The Payroll Coordinator is responsible for the timely and accurate processing and transmission of payroll for multiple locations. Payroll currently includes semimonthly, bi-weekly and weekly payroll for hourly and salary employees and variable compensation programs. In addition to the preparation, collection and review of payroll, responsibilities also include various reporting requirements. A high level of confidentiality is expected in this role.Job responsibilities include (but are not limited to):Payroll Processing:

  • Responsible for preparing, collection and verifying a semi-monthly payroll for all salaried employees in accordance with applicable provincial and federal legislation. Including new hire set-up, ROEs, terminations, transfers, reclassifications, promotions, benefit setups, etc. (employee full life cycle).
  • Calculating and processing of gross to net payroll, taxable benefits, retroactive pay, vacation pay, overtime, severance, bonuses, shift differential and deductions such as garnishments, pension, etc.
  • Responsible for coordinating and verifying weekly/bi-weekly payrolls for union and non-union employees in NS, BC, ON, and one USA location. Understanding of 3 collective agreements/handbooks.
  • Process the General Ledger transfers for all payrolls.
  • Identify and resolve discrepancies through checks, auditing, and adjustments to reconcile all payrolls, utilizing reports from payroll, benefits, etc.
  • Liaise as required with department managers to clarify or request further information for payroll cycle to complete duties as required, following auditing requirements.
  • Answering questions and resolving issues regarding payroll with internal and external stakeholders.
  • Problem solving issues that are routine and may require further guidance from management if complex or out of scope.
  • Keep informed of payroll legislative changes and complete regular professional development in payroll areas.
  • Oversee calculations and processing of all retroactive pays due to delayed negotiated contracts for all hourly payroll locations.
  • Prepare, review and issue annual T4s and T4As for all locations, including taxable benefit and pension adjustments. And reconciliation of all T4s to the General Ledger of the financial system.
  • Administer any employee benefit premium cheques provide by employees off on leaves of absence
  • Backup other Payroll Administrators for payroll processing on both the hourly and salary payrolls.
Reporting & Remittances:
  • Weekly, monthly, quarterly, and annual calculation, remittance and reconciliation for all provincial Employer tax, CPP, EI WCB, and EHT accounts; Garnishments; Union dues; Donations; staff funds etc.
  • Various monthly reports, journal entries, and Pension files prepared and submitted to internal and external recipients.
  • Preparation of annual pension data return for defined benefit plan members.
  • Various ad-hoc reports requiring various levels of data analysis; understanding of system setup in order to capture correct data.
System Administration:
  • Administration and maintenance of all modules in payroll system (Avanti)
  • Manage security access for all users.
  • Responsible for ad-hoc projects.
  • Create and maintenance of reports under the payroll Report Writer utility for all locations.
  • Administer the annual leasing of uFace time clocks in all locations. Trouble shoot any issues.
  • Update Financial calendars, Tax Tables, and Rate Tables as required.
  • Calculate annual benefit premium changes for all locations and update on the payroll system.
  • Work with Auditors at year end and new year for full audit of payroll system.
  • Become knowledgeable in the Avanti system set-up in order to understand where to pull data for ad-hoc reporting purposes
Qualifications and Skills:
  • Minimum 5 years of payroll processing for multi provincial payrolls in a large organization with union experience.
  • Experience and knowledge in processing USA payrolls is an asset.
  • Working towards or completion of your Payroll Compliance Practitioner (PCP) is an asset.
  • Proficient in MS Word, MS Outlook, and spreadsheet/database (MS Excel) is required.
  • Working knowledge of industry payroll systems such as Avanti or ADP is preferred
  • Executes with accuracy and timely in turning around data entry with minimal errors through a strong attention to detail and good organizational skills.
  • Effective communication skills both verbal and written to interact at all levels of the organization.
  • Maturity to understand and respect the sensitivity and confidentiality of payroll matters.
  • Knowledge of payroll compliance, provincial and federal employment legislation for Canada.
  • Strong attention to detail.
  • Strong Analytical skills in both data and system analysis.
  • Ability to work independently as well as in a dynamic team environment.
