Together we are working with Nova Scotians to build a better future through sustainable natural resource management as we all benefit from the natural health and wealth of the province.About Our OpportunityUnder the general direction of the IRM and Parks and Recreation Managers or other designated official, the Clerk 4 provides a broad range of administrative, financial, and organizational support to the Integrated Resource Management (IRM), Parks and Recreation Managers and other Lands and Forestry staff within IRM and POSD.Primary AccountabilitiesAs the Clerk 4, you will support various programs administered by the Department of Natural Resources & Renewables and oversee the daily financial and procurement services for IRM and Parks and Recreation; prepare invoices for processing; create journal vouchers; track expenditures and reconcile invoices to SAP (105) to assist IRM and Parks and Recreation Managers in preparing accurate budget forecasts. You will also receive and reconcile revenue ensuring security of such funds as per the Cash Handing Policy.Other responsibilities include:

  • Providing front line customer service including processing incoming and outgoing mail and responding to telephone and in person inquiries;
  • Using SAP, entering shift substitutions, verifying entries, entering time-absentee reports for seasonal/casual employees and running reports as required by IRM and Parks and Recreation Managers;
  • File management using the electronic filing systems, ordering office supplies, participation on committees and maintaining various databases;
  • Ensuring appropriate control of petty cash funds;
  • Maintain inventory using ARIBUS.
You must also be eligible to register as a Commissioner of Oaths in accordance with the Notaries and Commissioners Act for Administering Oaths.Qualifications and ExperienceThis may be the right opportunity for you if you have a High School education along with five years of related work experience. An equivalent combination of training and experience may be acceptable. You:
  • Are proficient with computer software with proven experience using Microsoft Office Suite, Outlook and web based applications;
  • Have experience with processing and tracking purchases, revenue from counter sales, monthly budget reconciliation;
  • Have experience coordinating duties such as calendar management, data entry, and composing and editing correspondence;
  • Possess strong organizational and time management skills including accuracy, the ability to work within deadlines, and proven ability to exercise sound judgement and set priorities;
  • Are a team player with the ability to work with minimal supervision, possessing strong interpersonal and communication skills;
  • Possess the ability to deal with sensitive information and to complete all duties with a high degree of confidentiality;
  • Have a valid Nova Scotia driver’s license or equivalent.
While not required, it is considered an asset if you have:
  • A working knowledge of the Corporate Financial Management System (SAP), CAMIS, ARIBUS; CIMPL Pathways, FileNet and STAR/STOR or similar systems;
  • Familiarity with the many Department/Government programs, regulations, statutes and procedures related to financial processes;
  • Experience in budget forecasting;
  • Experience providing quality front end customer service in a fast paced and demanding environment;
  • Knowledge and experience with OHS Acts and Regulations;
  • Radio Communications experience.
