Job Description

  • Create job folders and update active jobs. Utilize accounting software (AJERA) as required to
support both the Department need and Corporate Services.
  • Assist Team Leads and Project Managers in updating and tracking project scheduling, status,
and proposal information when available.- Maintain the design library catalogue as new books and codes are purchased. -
  • Assist in the maintaining and updating of all standards and other reference materials for the
group.Proposal side:
  • Assist in the proposal writing process from production to delivery including the coordination
and preparation of proposal submissions and soliciting input from others where required.
  • Track proposals and report status of all proposal elements to proposal team.
- Actively participate in meetings relating to proposals, business development and social media.- o Receive and review RFP, RFSO, and RFQ documents so that requirements are clearlyunderstood.
  • Act as the central point for the proposal development process.
  • Monitor proposal for accurate content and format consistency and compliance.
- Ensure the proper contextual integrity of proposals by coordinating with content contributors.-
  • Coordinate materials for submission.
- Minor graphic design as necessary.-- Proposal production, packaging, and delivery to ensure on-time submission.-QualificationsCompetencies
  • Completed College Diploma or University Degree in Administrative Services.
  • Ideally 4 years of experience in the Consulting Industry (or equivalent sector) administrative duties.
  • A fundamental understanding of administrative services and social media platforms.
  • Advanced skill level in Microsoft Word, Excel, and Outlook is required.
  • Good people skills
  • Good problem-solving skills.
  • Ability to work on multiple projects simultaneously.
  • Excellent organizational skills.
  • Bilingual would be an asset.
