Job Description

The ProgramWJS Canada - Ontario, provides culturally-based programs and social services for children, youth and families in the northwestern Ontario communities of Kenora, Dryden and Sioux Lookout.This position is based at the ACE Program, which is a section 23 classroom, funded by the Ministry of Education and Ministry of Children, Community and Social Services. It provides the mechanism to support students, with a focus on aboriginal youth at the Kenora Attendance Centre in a holistic way to prepare them for a return to a regular classroom setting or alternatively a post schooling readiness to enter the community as contributing members.In Your Role You Will

  • Adhere to the standards as guided by WJS general, personnel and program policies, as well as provincial regulations and demonstrate an understanding of WJS values, policies, and procedures.
  • Complete month end duties, including invoices, staff summaries and month end reports.
  • Ensure all invoices, bills, expenses claims, etc., are submitted to the financial coordinator promptly.
  • Deal with clients and their families in a professional manner as well as greets and interrelates with service representatives, clients, general public, related agency staff and other community services.
  • Coordinate and perform a range of staff and/or operational support activities for the region/program group; serve as a liaison with other parts of the organization in the resolution of day-to-day administrative and operational problems.
  • Operate a personal computer to compose and edit documents, reports, and other materials from notes or verbal direction or from knowledge of established policies; may prepare, transcribe, compose, type, edit, and distribute agendas and/or minutes of meetings.
  • Schedule and coordinate meetings, events, interviews, appointments and/or other similar activities for senior management which may include coordinating travel and lodging arrangements.
  • Prepare or assist with the preparation of scheduled and/or ad hoc statistical and narrative reports; perform basic information gathering and analysis and/or forecasting, as specifically directed.
  • Assist management and staff in problems solving, project planning, and development and execution of stated goals and objectives.
  • Establish, maintain, and update files, databases, records and/or other documents; develop and maintain data and perform routine analysis and calculations in the processing of data for recurring internal reports.
  • Requisition supplies, printing, maintenance, and other services, as required.
  • Support, lead and train staff and students, as required.
  • Perform miscellaneous job-related duties as assigned (such as drive coordination).
The PositionUnder general supervision, the Administrative Assistant performs a variety of administrative and staff support duties for a region or group of programs in this accredited agency, which requires a range of skills and a knowledge of organizational policies and procedures. Assists and directs visitors and resolves administrative problems and inquiries; composes, edits, and proofreads reports and proposals and prepares a range of administrative documents. They have the responsibility of helping set a friendly and courteous atmosphere.Schedule Information:
  • One (1) permanent, full-time position available, with a weekly schedule of 37.5 hours; Monday through Friday, 0800-1600*.
  • Scheduling includes 30 minutes unpaid break time, per day.

  • Minimum high school diploma or GED and a diploma or degree from a recognized administration program or equivalent combination of education and experience.
  • Minimum of 3 years of experience directly related to the specified duties and responsibilities.
Other Requirements / Competencies:
  • Skilled in the use of computers and related applications, including Office 365, with the ability to use them to create complicated documents and reports; willingness to learn and adapt to new software.
  • Familiar with computer-based group conference processes (ie. Zoom)
  • Ability to re-prioritize and adjust to interruptions and changing requirements.
  • Ability to comprehend information and communication effectively both orally and in writing, including business communications.
  • Ability to understand and follow specific instructions and procedures and use a problem-solving approach.
  • Knowledge of supplies, equipment, and/or services ordering and inventory control.
  • Ability to gather data, compile information, and prepare reports.
  • Ability to gather and analyze statistical data and generate reports.
  • Records maintenance and database management skills.
  • Ability to analyze and solve problems.
  • Ability to make administrative/procedural decisions and judgments.
  • Ability to create, compose, and edit written materials.
  • Organizing and coordinating skills.
  • Ability to record and transcribe meeting minutes.
