Job Description

Utilize computerized or manual systems to perform a recordsmanagement function that includes file set-up, maintenance, storage,retrieval and obsoletion, in accordance with established policies,procedures and instructions provided. Refer all deviations fromestablished policies and procedures to the Supervisor and/or client fordirection.2. Provide an information search and document retrieval service asrequested, using media appropriate to the request, following establishedprocedures. As required, contact other facilities toobtain documents. Maintain a log and follow-up of all requests forreference purposes.3. Receive, open, sort and distribute mail in accordance withprocedures and instructions. Provide special or rush delivery serviceas directed. Refer any problems encountered to Supervisor. Prepareoutgoing mail, verify postage requirements and arrange for shipment ofregistered mail, as required. Perform a redirect and tracing service ofmail. Provide a local and international courier service, makingnecessary arrangements and provide a tracing service as required.Accept deliveries and notify recipients of their arrival.4. Operate a switchboard and provide a message answering and forwardingservice for staff. Accept reports of local service trouble and reportto appropriate contact. Maintain and update a telephone directory andstaff listing.5. Provide a receptionist service for staff and clients, receive and/ordirect visitors and contact appropriate sponsor. Assist in locatingvisitors as requested. Maintain a sign in and out log as required.6. Provide a duplicating, distribution, routing and posting service inaccordance with established deadlines, policies, procedures andinstructions provided. Operate photocopy equipment and perform minormaintenance as required. Collate, assemble and bind material asrequired, and verify the accuracy of the finished work.7. Operate various telecommunication equipment to transmit and receiveregular and urgent messages, making copies and notifying recipients forpick-up as required. Provide minor equipment maintenance and reportequipment malfunctions as per established procedures.8. Process requests and prepare appropriate forms for airlinereservations, hotel accommodations, car rentals, passports, visas, etc.as identified in established procedures.9. Book conference rooms, order refreshments, lunches, meals, etc. andarrange for availability of equipment such as overheads, flipcharts,VCRs, videoconferencing, etc. as required. Record and confirm bookingand/or identify conflicts to requester.10. Order and maintain office supplies in the Services Area according toestablished procedures and authorizations. Restock supplies inaccordance with predetermined levels. Receive stock orders and checkfor completeness.11. Perform a variety of administrative assignments according toestablished procedures or as needs arise, such as:

  • provide messenger service to Head Office
  • maintain bulletin and organization boards
  • arrange for shuttle or taxi service
  • report routine building maintenance problems
12. Perform a typing service for clients operating at the intermediatelevel of proficiency using word processing equipment andapplications, appropriate to the work requirement. Follow companystandards for competency, accuracy and form and/or instructions rovidedby supervisor or author. Produce documentation appropriate to thebusiness units need and clarify problem areas with supervisory staff ororiginator. Check and proofread own work to ensure it is accurate withregard to instructions received. Submit completed assignment inaccordance with established procedures for reference and control ofworkflow to ensure deadlines are met. Deliver finished work in the mostappropriate manner.13. Perform other duties as required.Selection CriteriaEssential Competencies:Demonstrated organizational skills.Demonstrated knowledge and understanding of computer systems.Excellent oral and written communication skills.Ability to work independently and in a team environment.Essential Knowledge:Requires proficiency in keyboarding skills to input data and produce correspondence and reports.Requires knowledge of English to follow written or verbal instructions and to communicate effectively with others.This knowledge is considered to be normally acquired either through the successful completion of Grade XI in a Secondary, Commercial or Technical School or by having the equivalent level of education.Requires general office experience to become familiar with related office procedures.Requires a working knowledge of computers to understand input and output procedures for various computer programs used by the unit.Knowledge of various software packages, such as Word and Excel would be a definite asset.Requires experience to understand procedures and practices within the unit.A period of up to two years is considered necessary to gain this experienceAt Hydro One we understand that the success and strength of our business rests with our people.
