Job Description

Faculty & Administrative Assistant// Faculty of Humanities and Social Sciences*Position Purpose and Summary*Provide reception and administrative support for the chairs and faculty members of various departments in the Faculty of Humanities and Social Sciences. This position is a no-fixed-term contract that runs from August 16 to June 15 annually.*Key Areas of Accountability**Complete a variety of administrative duties under the supervision of the department chairs including scheduling meetings, coordinating events, and assembling data to support the financial and academic operation of the departments.

  • Act as the main receptionist for the departments and thereby help create a hospitable, collegial environment, welcome guests, answer student and guest inquiries.
  • Assist the chairs in their areas of budget responsibility including budget reconciliation. Develop strong systems for record-keeping and maintain accurate records.
  • Maintain an efficient, confidential office ensuring the availability of office supplies, paper and coffee supplies as needed for the department. Distribute mail as required.
  • Take a lead role in assisting new faculty (full and part-time) and staff (including teaching assistants and research assistants) to set up their new work situations such as building keys, computer passwords, telephone codes, parking passes, etc.
  • Liaise with Maintenance staff and Information Technology staff regarding the physical and technical needs of the area.
  • Work with chairs and coordinators in organizing and promoting special events including departmental graduation events. Have department websites updated as requested and take an active role in marketing and social media promotion.
  • Assist in work authorized by the Executive Assistant to the Dean of FHSS and/or other Administrative Staff in the Provost’s Office, Human Resources, and Registrar’s Office periodically during the academic year. Assist in graduation activities over the graduation weekend as required.

  • Ability to deal sensitively, effectively, and professionally with faculty, staff, students, and off-campus guests.
  • Ability to multi-task, prioritize and function with minimal supervision.
  • Attention to detail as well as strong communication and time management skills are considered assets. Experience in project management is valued.
  • Excellent interpersonal and customer service skills as well as good oral and written communication skills.
  • Ability to exercise mature judgement and initiative maintaining confidentiality as necessary.
  • Ability to use standard office applications (Microsoft Office Suite) as well as common social media platforms.
