Job Description

  • This position will be funded by the Canada Summer Jobs Grant, the successful candidate must meet the eligibility requirements listed in the position description below.
*Position Purpose and Summary*The Alumni and Families Project and Administrative Assistant advances the Mission of Trinity Western University by championing the day-to-day administration functions of the Alumni and Families department, while providing outstanding service and care to all alumni and parents.*Key Areas of Accountability*
  • Administration - Responsible for providing administrative assistance to the Vice President of Alumni & Families and team. This includes day to day items such as monitoring the Alumni phone and email.
  • Special Projects – Assist the Vice President of Alumni with short term projects and initiatives to increase the effectiveness of the alumni engagement strategy.
  • Communications – Support the Alumni & Families team with website maintenance and social media management.
  • Event Planning – Assist in coordinating events for alumni and families – on and off campus. This will involve liaising and communicating with multiple departments across campus. (Travel for some off campus events may be required)
  • Data Services – Responsible for maintaining alumni records (eg. contact information, list management, record keeping, event attendance) in a database system.
  • Parents & Families – Responsible for assisting the Parents & Families department in initiatives, programs, and events during the summer and in preparation for the Fall. This includes Touch of Home, volunteer coordination, etc.

  • Excel in maintaining positive cross-campus working relationships and communicating with multiple stakeholders including parents, students, alumni, staff, and faculty.
  • Warm and friendly persona, able to calmly navigate through challenging or tricky customer relations challenges.
  • Able to work under time, budget, and schedule pressures.
  • Strong computer skills with M/S Office software package (50 WPM).

  • Participant must be between 15 and 30 years of age at the beginning of the employment period.
  • be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment; and,
  • have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulation
