Working with the chairs and program leaders this position performs a variety of program-wide, program-specific tasks and special projects to support Access programs at both Interurban and Lansdowne Campus. A thorough knowledge of college, school and department goals and objectives, policies and procedures relevant to the Access programs is essential. May require working evenings and weekends.TYPICAL DUTIES:

  • Responds to Access student queries for clarification and direction related to information available in the college calendar, course timetables and other publications and makes appropriate referrals to student services staff, when necessary, to ensure that Access students have all necessary information and requirements necessary to make informed decisions;
  • Coordinates the development, revision and proofreading of the Camosun College credit calendar for the school. This includes gathering and disseminating information, ensuring consistency and compiling data. It involves liaison with members of the department and other departments in the college;
  • Facilitates, organizes and supports special events such as annual graduation/awards ceremonies, program orientations, information sessions, education fairs and cross-school events, as well as other large, multitask projects;
  • By phone, in-person, mail and/or by email, coordinates and disseminates a variety of information such as current and accurate program and course information, promotional materials, course packages and materials,
  • Liaises and problem-solves with Academic Advisors and Enrolment Services regarding the Access programs;
  • Assists chairs, program leaders and other personnel in the marketing and implementation of current and new programs. This includes monitoring and/or maintaining data bases of student enrolment reports and program wait lists; participating in open house; organizing career fairs; developing and maintaining brochures and information sheets, advertising, etc.;
  • In the chairs or program leaders absence uses initiative and judgement to ensure that matters requiring immediate attention are referred to the appropriate authority and handled in an efficient manner;
  • Posts, edits, and maintains all Access program data to websites on the departmental server;
  • Compiles data, produces statistics and generates reports regarding student enrolment, enrolment projections, and distance learning courses;
  • Develops, updates and maintains promotional material, advertisements, and information bulletins;
  • Acts as liaison within the Access departments and between the schools and other departments;
  • Ensures the dissemination of relevant information to appropriate college personnel;
  • Coordinates classroom re-allocations for Access programs which involves liaison with Data Management;
  • Assists in the orientation of new faculty and staff of the Access programs;
  • Assists in the data collection for faculty evaluations;
  • Assists chairs, program leaders with the awards selection process;
  • Participates on appropriate college, school and departmental committees as requested;
  • May require the coordination of distance learning course registrations;
  • May assist chairs and program leaders in the collection of data to coordinate the preparation of timetables and exam schedules and text orders which involves liaison with various college departments and personnel;
  • Performs a variety of clerical duties as required;
  • Performs other related duties similar in scope and complexity.
QualificationsAn appropriate diploma, such as business administration or a diploma specific to this discipline and four years relevant experience in a technical or post-secondary environment or an equivalent combination of education and experience.
  • Excellent organizational and communication skills with a demonstrated ability to relate well, and work effectively with the general public, students, faculty and the College community.
  • Ability to perform well under pressure, meet deadlines, and recognize changing priorities.
  • Demonstrated exceptional administrative support skills including the ability to work independently, deal effectively with non-routine matters and coordinate various activities, take responsibility, display initiative, problem solve, and make independent decisions.
  • Advanced knowledge of spreadsheets, databases, and word processing software applications currently in use, and web based applications (Front Page or other web enabling technologies), in a networked computer environment.
