  • Minimum 3 years’ experience
  • Proficient in Microsoft Word, Excel, Outlook, and Teams
  • Excellent attention to detail with high standards for quality work
  • Excellent telephone manner
A Little More About the Role:Responsibilities:
  • Greet and direct office guests as well as manage incoming and outgoing calls in a professional manner
  • Prepare courier packages and manage couriers/Canada Post
  • Process and distribute incoming mail, email, and faxes
  • Code invoices for processing
  • Reconcile Visa charges for corporate card
  • Assist with formatting and production of documents (specifications, contracts, tenders, proposals, reports, memos, letters, PowerPoint presentations, charts, tables, meeting minutes, etc.)
  • Ensure corporate branding is maintained in all documentation
  • Compile required components for proposals
  • Coordinate production of custom graphic proposal components with Graphics Team, including project profile sheets
  • Document printing, assembling, coiling/binding, and labeling
  • Prepare draft client and/or subconsultant agreements as required
  • Ensure fully executed contracts are filed in the correct folder and update status on ISL database
  • Coordinate logistics involved with booking flights, hotel accommodation and vehicle rentals
  • Negotiate corporate rates with hotels in project locations
  • Register staff for courses, training, and industry events
  • Assist Human Resources with on-boarding of new staff
  • Order and maintain office supplies
  • Assist in negotiating/managing supplier contracts such coffee services, cleaners, recycling, etc.
  • Managing a multi-line phone system
  • Create and maintain digital and hard copy project files
  • Prepare boardrooms for meetings, including ordering food/beverages when required
  • Assist in planning local client and staff events
  • Filing/document archiving and other administrative duties as required
  • Assist in managing fleet vehicles
