Job Description

JOB TITLE: Coordinator – Applications, Publications and Databases - Job Reference # 202204-02CEffective September 7, 2021, all employees and visitors to campus are required to comply with King’s COVID-19 Vaccination Policy.DESCRIPTION: Reporting to the Director of Enrolment Services and Registrar, the Coordinator – Applications, Publications and Databases will be responsible for developing, maintaining, updating and supervising the use of the King’s College Admissions and Registrants Tracking System (KCARTS Database) and the Recruitment Leads database.The successful candidate will also:· Import applicants from Peoplesoft, ensuring accurate data collection and maintenance of applicants/ registrants/ past student’s personal and academic information (30,000 records).· Generate applicant data sheets from Laserfiche.

  • Collects and downloads leads from a range of platforms to upload to Recruitment Leads database.
  • Responsible for coordination and distribution of many communications to King’s applicants, Agents, guidance counsellors, principals, and student leads through Recruitment Leads database.
  • Creates email, newsletters to support the work of the recruitment team.
· Assists the Director of Enrolment Services and Registrar and Director of Communications and Media Relations in the development of a range of communications projects (both electronic and print).· Designs and creates invitations, signs, posters, and brochures specific to the Enrolment Services.· Work closely with King’s Web Developer providing update support for the Future Students website and King’s website.· Responsible to produce the annual King’s Admissions and Enrolment Report (a complex document including more than 80 pages of charts data requiring coordination from a number of departments).· Supports the Records Officer: receive and process student forms (paper and electronic including, RESP forms, various government and registered letters.)· Provides support, problem-solving, and coordination of operation of the online Summer Academic Orientation booking calendar with ITS.· Coordinate with Western and various departments at King’s (including Student Financial Services and the Academic Dean’s Office) for King’s sections within a range of publications to ensure accuracy of content (i.e., Registration Handbook, Summer Academic Calendar, and First Year Calendar).· Responds to in-person, phone, and email inquiries of a sensitive nature with students, prospective students, parents and members of the King’s Community (both internal and external).· Implements College privacy policies and student records in such dealings.· Assists with registration difficulties, enrolling/dropping classes for students.· Requires a wide knowledge of programs, services and processes.· Clarifies and responds to concerns, and if necessary, will refer to other individuals or departments.· Must possess excellent interpersonal, communication and problem-solving skills to deal with difficult situations and/or individuals.· Makes appointments for members of the Enrolment Services team.· Performs general office duties including faxing, scanning, copying, booking rooms, completing work orders.· Printing student, staff, and faculty ID cards.QUALIFICATIONS: · College Diploma· Minimum of 2+ years of previous relevant experience· Must be proficient in Microsoft Office Suite especially in Microsoft Access.· Must have very strong computer skills to manage a range of software packages and digital platforms.TYPE OF JOB: Full Time Contract – 35 hours per week (May 2, 2022 to January 12, 2024)EFFECTIVE DATE: As soon as possibleSALARY RANGE: SSG 8 - $48,360 - $58,921 per annum (dependent on experience)APPLICATION INSTRUCTIONS: Submit a letter of application and resume.
