Job Description

Home and Community Care Support Services South West is seeking an Executive Assistant for our Home and Community Care Portfolio!Opportunity Summary:The Executive Assistant provides administrative, coordination and project management support to the Vice President and/or Director roles in the organization. Areas of responsibility include effectively prioritizing and researching issues, including the collection of data and preparation of reports; coordinating the preparation and/or edit of business materials such as letters, mass emails, memos, and presentations; organizing meetings and events; planning and organizing schedules, appointments, reservations and travel arrangements; and reviewing and prioritizing all incoming correspondence and taking appropriate action. This is a permanent full-time opportunity.The Executive Assistant will demonstrate an understanding of quality, risk and patient safety principles and practices, following all safe practices and procedures to support a safe patient and working environment.Currently operating in a “work-from-home” model, this opportunity is open to the following locations within the South West region: Woodstock, St Thomas, London, Stratford, Seaforth, or Owen Sound.What will you doAdministrative Support

  • Receives notification on confidential issues and informs the Vice President and/or Director, conducts background research and provides a summary of the facts.
  • Prioritizes and manages the Vice President and/or Director calendar, sets up meetings on their behalf and resolves scheduling conflicts.
  • Handles logistics for travel, accommodation, seminars, and organization-wide meetings and events.
  • Directly responds or coordinates response to requests for information from internal/external parties.
Coordination Support
  • Acts as a liaison in matters involving committees or staff that report directly to the Vice President and/or Director. Sets and communicates meeting schedules, venue and confirmation of attendance.
  • Prioritizes information needed and prepares briefing materials and background documents for meetings or pending decisions.
  • Ensures communication of information and materials in a timely manner and follows-up on actions/tasks identified to monitor completion within the established timelines.
Project Management Support
  • Initiates, plans and carries out a variety of special projects, research, consultations or assignments and develops recommendations for the Vice President and/or Director and other committee representatives, as appropriate.
  • Sets-up, tracks and reports on project status across multiple projects and coordinates the communication required to ensure projects remain on-track.
  • Supports the collection and drafting of documentation related to identified project milestones and reports.
What must you have
  • Completion of a two (2)-year, specialized, business training program.
  • Three (3) years of experience in a senior administrative role working with senior executives (e.g., knowledge of the formal and informal protocols and methods of supporting executive-level positions).
  • Demonstrated ability to integrate information from a variety of sources into effective briefing material, reports and summaries
  • Basic understanding of the HCCSS South West’s stakeholders as well as overall issues and priorities within the healthcare sector
  • Ability to use a variety of software programs, including HCCSS South West specific databases and programs
  • Comprehensive knowledge of and proficiency with PC based hardware/software and inter/intranets
  • Advanced Word, Excel, Outlook, Power Point, Share Point, Adobe Acrobat Standard.

  • Previous experience supporting senior executive leadership in a health care setting.
  • Ability to speak French or another second language.
