The Centre facilitates individuals, groups and institutions representing the diversity of the community to pursue research questions and training opportunities related to the understanding and prevention of abuse.Join our busy team as a financial assistant working 3 days a week.ResponsibilitiesThe Financial Assistant will support the Financial Officer and the day-to-day operation of the Centre for Research & Education on Violence against Women & Children. The Financial Assistant will serve as a resource and point of contact for staff, committees, and external stakeholders regarding administrative matters, answering or re-directing inquiries as appropriate. The Financial Assistant is responsible for implementing daily financial transactions in accordance with Western Finance and other applicable guidelines imposed by external funding bodies. This includes processing expenses, purchase orders, and invoices while maintaining accounting records according to compliance standards.QualificationsEducation:

  • Community College Diploma in a financial or administrative field
Experience:
  • 3 year of experience in a business office setting
Key Accountabilities
  • Serves as a point of contact for various administrative inquiries, responding or referring to the appropriate resources using discretion to escalate concerns to a supervisor as required
  • Serves as a first point of contact and provides reception services for in-person inquiries within the Centre
  • Administrative record keeping and processes for various projects including management of correspondence, minute taking, sourcing supplies, researching venues and catering, arranging travel (FCM), preparing, and tracking remuneration for study participants.
  • Assists with the implementation of large (1-2 annually) and small (1 per month) events, including events of up to 500 people
  • Coordinates travel and accommodation for event attendees as directed, working with FCM travel as appropriate
  • Attends conferences and events to assist with all required logistical activities (e.g., signage, directing attendees, AV, etc.)
  • Gathers information and data to develop and maintain spreadsheets, and generates reports as required
  • Monitors and maintains supplies and resources for the department (mustang market)
  • Provides support for maintaining the accounting records for various continuing education and research accounts (e.g., monitoring accounts, petty cash, travel expense reimbursement, following up on invoices)
  • Sorts and distributes mail within the office
  • Coordinates and provides technical support in the setup, testing and delivery of approximately 13 to 18 bilingual virtual learning events each year
Knowledge, Skills, Abilities and Attributes:
  • Experienced with software applications used by Western preferred – e.g. PeopleSoft, Mustang Market, FCM.
  • Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
  • Demonstrated ability to take initiative, to work independently and follow through on work assignments
  • Ability to apply active listening to hear and understand the complete message being communicated
  • Competency to maintain confidentiality and treat sensitive information with discretion
  • Ability to establish rapport with people from diverse backgrounds

  • Intermediate proficiency required in Microsoft Office in order to prepare formal correspondence, emails, memos, and input departmental data into spreadsheets and databases
  • Familiarity with Western policies and guidelines preferred
