We are currently seeking a full-time detail-oriented Front Desk Administrative Assistant to join our friendly team at Head Office.The Front Desk Administrative Assistant is the friendly first point of contact who provides clerical support, administers parking and access cards, and assists with ongoing and one-time special projects.Bluestone Advantages

Duties
  • Manage multi-line phone system including answering, screening, and transferring calls
  • Perform word processing, faxing, scanning, photocopying, and shredding
  • Arrange for couriers and sort/distribute incoming mail
  • Manage underground parking at 130 Dufferin Avenue and administer parking and building access card system
  • Manage parking validation for surface lot and manage guest cards for 520 Talbot
  • Review parking rent roll monthly, accept rent payments, and issue receipts
  • Attend to general concerns and enquiries
  • Maintain front desk flowers and ensure reception, boardroom, kitchenette, and lunch areas are tidy and stocked with refreshments and snacks
  • Assist with Tenant Service Requests and assist with coordination of work orders
  • Assist team with data entry, form and spreadsheet creation, and ongoing and one-time special tasks
Requirements
  • 1 to 2 years of administrative, reception or related experience
  • Proficient with computer and multi-line phone systems
  • Excellent customer service and interpersonal skills
  • Excellent oral and written communication skills including a pleasant phone demeanour
  • Intermediate knowledge and ability in Microsoft Office (Word, Outlook, Excel)
  • Demonstrated proficiency in word processing, data entry and spreadsheet creation
  • High attention to detail and accuracy
