This position will be working under the supervision of the Administrative Assistant and will be performing intermediate clerical work as well as front counter duties. The responsibilities of this role will include the following:Receiving, reviewing, clarifying, and confirming requests for information.Gathering, organizing, and recording information.Liaising with various internal departments and staff to gather information as required.Composing a variety of correspondence and documents.Processing and reviewing data related to Fire Prevention clerical duties.Assisting other administrative staff in performing their duties as required.Assembling and preparing reports.Explaining moderately complex departmental rules, practices and procedures to public and staff.Answering the telephone, recording information, providing information and/or referring persons seeking information or assistance to appropriate departmental staffThis position requires someone who has the ability to multitask between front counter/ phone reception, multiple demands of the administrative team and despite these distractions be able to prioritize and accomplish assigned projects.This position deals with highly confidential and sensitive matters. The successful applicant will be required to complete a Police Information Check.KNOWLEDGE, SKILLS, & ABILITIES:Considerable knowledge of modern office practices, procedures, business English, spelling, punctuation and arithmetic.Sound knowledge of departmental rules, regulations, policies and procedures as they relate to the work performed.Ability to meet and deal tactfully, courteously and accurately with the public and municipal staff.Ability to prepare and lay out graphic and written materials in a visually appealing format.Ability to take and transcribe minutes.Ability to compose routine letters and memoranda, to arrange format for reports and to input data and maintain filing systems.Ability to follow oral and written instructions and to learn assigned clerical tasks within a short time.Ability to make decisions in accordance with the rules, regulations and procedures of the department.Ability to multi-task and meet tight deadlines.Ability to operate standard office equipment and to use common software applications such as MS Office SuiteAbility to type with speed and accuracy.LICENSES & CERTIFICATES:Driver’s Licence valid in the Province of British ColumbiaWHAT WE OFFER YOU:The City of Maple Ridge is a great place to work with competitive compensation packages that include the Municipal Pension Plan, a strong employee wellness program and the opportunity for professional career growth and professional development.
