Job Description

What we need:We are looking for a highly motivated and well-organized professional who is able to work independently and effectively in a fast paced environment. The Administrative Assistant (AA) will provide administrative support to leaders in the Quality, Patient Safety, Patient Experience and Infection Prevention & Control Department.The AA will be a self-directed, independent critical thinker who is well organized to provide complex administrative support. The AA will exercise considerable judgment, will anticipate needs and will produce first-rate work as needed. To succeed in this role the AA must have a full understanding of hospital policies and procedures, be discreet and professional and be able to accept and assume responsibility while making appropriate decisions. Areas of responsibilities may include:
  • Administrative support to Director including schedule management, meeting preparation and management and organization of daily schedules
  • Administrative support to Managers Quality & Patient Safety, Infection Prevention & Control and Patient Relations Specialist.
  • Administrative duties include completing general office duties including sorting mail, phone and email correspondence, maintaining computer and paper filing systems, arranging courier services, ordering supplies, equipment maintenance, preparing and typing documents, packages and presentations, bill payments and requisition procedures, and monitoring office activities.
  • Coordinates and supports a variety of internal and external meetings, events and committees (i.e. sets meeting schedules, books rooms and catering, records and distributes minutes, agendas and other materials)
  • Collaboration with other Administrative Assistants and stakeholders to communicate priorities and complete tasks
  • Creating correspondences, reports, proposals and presentations as needed
  • Providing other support as required and needed
Work Schedule:The successful candidate will primarily work days Monday to Friday. You must be flexible with your schedule to meet deadlines and support meetings/events which may take place in the early morning, evening and or on weekends.Compensation:Band R:$ 27.88 – 33.30 per hour$ 54,366 - 64,935 per year What you bring to Oak Valley Health:
  • Post-secondary degree or diploma
  • 3-5 years of recent Administrative Assistant level experience preferably in a healthcare financial setting
  • Excellent computer skills including MS Office - Outlook, Word, Excel, PowerPoint and Visio
  • A proven track record in ensuring confidentiality, integrity, professionalism, diplomacy and attention to detail at all times
  • Well developed critical thinking and problem solving skills with the ability to think independently to proactively anticipate the needs of their leaders and their teams
  • A proven ability to develop reports, documents and presentations for assigned leaders
  • Demonstrated excellent organizational skills with ability to prioritize tasks and meet deadlines in a fast-paced environment
  • Superior communication (verbal and written) and customer skills and the ability to effect strong public relations in all encounters
  • Demonstrated ability to work both independently and collaboratively within a team environment
  • Demonstrated good attendance and performance records with the ability to maintain these same standards
  • Demonstrates a commitment to a healthy and safe workplace for self and others (staff, patients, families, etc.) by taking all reasonable precautions and working in compliance with organization related policies, health and safety legislation and best practices and completing relevant mandatory education as required
