Please reach out to us to learn more!Position Purpose:This position will report to the Senior Manager, Strategy, Planning & Reporting in the Facilities and Real Estate Division. The purpose of this position is to plan, implement and manage Hydro One current and future workplace policies. This includes all accommodation and future of work assignments, benchmarking current and future staff demand forecasting, collaboration and coordination with various internal line of business, development of new policies and guidelines, high level space planning, furniture solutions and staff relocation planning. The ideal candidate would have a background in interior design, architecture and/or workplace strategy. Additionally, the ideal candidate with have significant experience in managing workplace policies for large corporate organizations with diverse stakeholders and union environment. This position will also manage staff responsible for leasing and transactions to support the Hydro One portfolio. As part of managing staff team building, mentoring, coaching and career development will be critical in further developing Hydro One’s culture of open and collaborative work environments.General Accountabilities:

  • Manage all the companys owned and leased facilities throughout the province, including office buildings, administrative centres, operating facilities and transformer stations.
  • Ensure all relevant municipal and provincial building and fire codes, and health, safety and environmental requirements and regulations are met.
  • Ensure that buildingsystems operate effectively and efficiently, air quality is maintained and that the buildings operate to ensure health, safety and environmental regulations are met.
  • Obtain Ministry of Environment certificates of approval and municipal building permits as necessary.
  • Manage, lead and coordinate the work of building maintenance, information technology, telecommunications and other staff involved in the management of the companys facilities and associated projects.
  • Be accountable for their output, by facilitating the planning and organizing of the groups work, providing advice, guidance and direction as necessary.
  • In conjunction with other staff, develop, implement and maintain detailed work methods for staff, in a working environment, which is consistent with the philosophy and goals of continuous quality improvement.
  • Act as a coach and facilitator to create and sustain a cooperative and supportive group environment, actively working with staff to provide training and empower them to attain optimal work performance with a high level of personal responsibility and self-management.
  • Provide day-to-day interpretation and application of the negotiated agreements with bargaining agents as they affect the rights, obligations and working conditions of employees.
  • Make effective recommendations on human resource issues, including hiring, discharge and discipline, and effectively resolve work performance problems.
  • Provide clear expectations and performance measures, meaningful feedback and recognize and reward achievements.
  • Develop maintenance and renovation plans and schedules to ensure the facilities are maintained in excellent operating condition.
  • Develop building/site specific plans and budgets to operate and maintain the facilities effectively.
  • Ensure facilities and accommodations provide a high level of client and occupant satisfaction.
  • Provide timely information to building occupants on accommodation upgrades, services, move plans, long-term space plans and office technologies.
  • Work with senior management to develop forecasts of the companys facility needs and make recommendations on timing of acquisitions, renovations and maintenance activities to maximize the value to the company.
  • Develop building/site long-term and short term plans based on understanding clients# needs, changing technologies and changing regulatory environs.
  • Coordinate renovation and new capital projects in relation to market conditions and cost.
  • Set project schedule and budgets and supervise project construction and office move projects including monitoring of external contractors and suppliers.
  • Oversee & coordinate the work programs and priorities of grounds, site & maintenance staff as it relates to facility management.
  • Work with senior management at the facilities to ensure the work programs are carried out.
  • Develop program monitoring and cost tracking to ensure the budget for each facility is met. Make adjustments where necessary.
  • Evaluate solutions for requests to carry out special analyses, facility, building and site evaluations.
  • Compile estimates, arrange schedules and make recommendations including asset management review of specific facilities.
  • Develop, plan, monitor and control major and minor accommodation and support services projects including budgetary and cost controls providing reports to management.
  • Work with facility owners and suppliers of various facilities systems, products and services to negotiate leases and contracts required to provide integrated workplace services to clients.
  • Administer negotiated contracts and contract changes, work schedules, and requirement for changes to suppliers systems to maintain compatibility with existing systems or to meet client needs.
  • Ensure safe, efficient and reliable delivery of workplace and support related services.
  • Manage all workplace related services and support services such as mail, printing, courier, executive reception etc, and staff output for office space planning and design, furniture services, conference rooms, office moves, service calls, plant maintenance and housekeeping functions.
  • Lead and coordinate workplace moves and reconfigurations and work with other stakeholder groups such as Information Technology, Construction, Facility Services, Security, etc.
  • Arrange for and administer internal and external contracting services including those related to renovations and new capital projects, moves, workplace services, furniture services, etc.
  • Participate in the monitoring and reporting of customer satisfaction with the effectiveness and efficiency of the building services provided.
  • Utilize various methods to obtain this information, such as periodic surveys, questionnaires, post move audits and regular contact with line management.
Selection Criteria:
  • Knowledge of business administration, project management facility/property management and contract management.
  • Demonstrated strong leadership skills and the delivery to commitments and time lines.
  • Demonstrated knowledge of project planning, project management, scheduling, business planning, budgeting and forecasting to plan, operate and maintain the facilities.
  • Understanding work and future market trends as it relates to office and specialized accommodations to provide advice and solutions to the future of work for the organization.
  • Experienced and established client management, communication and resolution skills.
  • Excellent speaking, writing and listening skills to communicate.
  • Experience with legislation and regulations including municipal, provincial and federal environmental laws, building codes, fire regulations, health and safety legislation, and security requirements of facilities.
  • Experience in property management, contract management and facility management to administer work programs associated with outside contractors, suppliers, regulatory authorities and stakeholders.
  • Experience working with an outsourced service provider to deliver on client needs and accommodation requests such as move requests, furniture requests, design services and accommodation project management.
  • Experience working with furniture vendors to undertake small and large scale furniture/accommodation solutions including design services, drafting of plans for new spaces, understanding future furniture needs and working with furniture vendor to deliver on those needs with a specified timeframe and budget.
  • Demonstrated understanding of building systems as it relates to accommodation and workplace planning solutions, including electrical, plumbing and HVAC systems to manage the provision of building services, interior design, building materials and construction, specifications writing, furnishings and equipment and computer-aided drafting/designing of spaces.
  • Experience negotiating contracts including adherence to schedules and development of site specific plans and workplace related forecasts.
  • Budget and accounting experience to develop and administer business plans forecasts and budgets.
  • An understanding of information technology and telecommunications systems to prepare business analysis on building and site improvements.
Demonstrated Management Skills:
  • Client Service- ability to work with various lines of business to deliver on accommodation requests and competing priorities across the organization
  • Accommodation Services- previous experience in designing/reconfiguring work spaces and understanding of how spaces work to best serve the client group. Experience in using computer aided design software would be an asset.
  • Management- managing of staff to deliver on results and managing the work and expectations of an outsourced service provider.
