Job Description

We are currently seeking to expand our Human Resources Department with a new role of HR Administrator. This is a full-time permanent postion for our co-operative. This position provides HR support to all employees across all three of our locations located in Marquette, Starbuck, and Elm Creek, Manitoba. This position requires regular travel between locations as well as travel within our trading area for career fairs, training opportunities, and other community events.This position will:

  • Provide high quality and confidential HR support to the retail. This includes creating or updating, gathering and distributing documentation (letters, memos, documents, and emails), bulletins, and reports utilizing the most efficient available technology and processed within prescribed deadlines. There can be multiple tasks required at one time. Maintain effective communications with all employees (management and non-management), team leaders, region employees, subsidiaries and external customers.
  • Responsible for the recruitment process including the creation of postings, review of candidate pool, short-listing, pre-screens, interviews, reference checks, and offers. Advise Team Leaders on the recruitment process and provide recommendations on the most qualified applicants.
  • Administer talent acquisition and employee onboarding processes. This responsibility includes many individual touch points (ex. payroll enquiries, type and send letters of regret to unsuccessful candidates) and follow-up (ex. return of documentation, ensuring employee inquiries have been met in a timely fashion). Issue orientation packages and ensures all forms/packages are up-to-date with current information; as well, they process all internal employee movement and leaves and create and maintain employee files (standard setup for all files). The incumbent is a key point of contact with Payroll as they will work closely with that department if any unique circumstances arise, and they must adhere to Payroll cutoffs.
  • Ensure continuity and accuracy of all files and system data by recording employee information changes, develop and record administration procedures. Answer general employee enquiries and generate verification of employment letters. Assist with Retail offboarding process (ex. providing exit questionnaires, informing IT and Payroll, ensuring all communication is received and properly completed).
  • Assist with administration of non-management performance reviews. Coordinate with leaders and send monthly reminders if necessary.
  • Answer employee enquiries regarding benefits and assist with benefits orientation for management and non-management. Work with Payroll and Benefit providers to ensure proper benefits deductions are being taken; field benefits questions from Payroll and ensure proper documentation is in place at all stages. Provide employees with information regarding benefits eligibility dates, coverage, and claims. Provide Verification of Benefit letters for employees regarding student eligibility; obtain confirmation of enrollment; post reminders regarding dates; ensure all system data is up-to-date and accurate.
