Job Description

JOB SUMMARYThis position is a combination of Reception (50%) and Accounts Receivable (50%). When performing the duties of the Receptionist he/she is responsible for greeting all visitors arriving at O’Brien Material Handling, answer and directs all incoming telephone calls to the appropriate person or department while providing excellent customer service, take messages when required and other clerical duties such as filing, sorting, and distributing office mail. When performing the duties of Accounts Receivable, he/she is responsible for posting customer invoices, posting cash receipts, and contacting customers to collect unpaid funds.DUTIES AND RESPONSIBLITIES Receptionist / Office Administration

  • Answer phones and transfer calls to employees
  • Open and distribute all incoming and outgoing office mail and faxes
  • Maintain office supplies inventory and re-order items as needed
  • Provide administrative support to the sales and service departments by preparing monthly sales reports, customer training certifications, CWB monthly report and others as required
  • Arrange hotel accommodation for service & installation departments
  • Prepare and maintain tracking of IFTA/IRP reporting on a weekly and quarterly basis
  • Maintain records and schedule fleet repairs for company vehicles
  • Register vehicles with Service NB
  • Maintain spreadsheet for consignment inventory while reporting usages to supplier
  • Arrange training for technicians through ISNetworld/Avetta and maintain up to date records in system
  • Type certificates from technicians once received and send to customer in a prompt timeframe.
  • Maintain and keep records up to date in internal system when crane repairs are completed.
Accounts Receivable
  • Ensure customers are invoiced accurately and in a timely manner
  • Run credit checks and open new customer accounts
  • Input and post payments to customer accounts
  • Contact customers and collect funds for past due amounts
  • Answer any customer inquiries and resolve any outstanding issues
  • Prepare month end files and reports for the controller
  • Assist in the preparation weekly cash report and production reports
  • Other duties as assigned
QUALIFICATIONS
  • High School Diploma or Equivalent
  • Diploma, office administration, accounting and/or bookkeeping course an asset
  • Min 2-3 years previous experience in manufacturing setting
  • Bilingualism in both French and English is preferred
  • Proficient in advanced Microsoft Office Suite Programs (Outlook, Excel and PowerPoint) and any CRM Microsoft programs
  • AS400 experience
  • Highly Organized and detail orientated
  • Strong Customer Service & Communication Skills
  • Exceptional time management skills
  • Ability to work independently with confidence.
  • Excellent interpersonal and communication skills, both written and verbal
