Qualifications:Essential:
  • Experience providing administrative support in a fast-paced office environment including managing electronic calendars to schedule and coordinate meetings, managing correspondence, data entry, and maintaining filing and document tracking systems.
  • Experience working with the public and providing customer service to a diverse clientele.
  • Experience handling sensitive and confidential information in a professional manner.
  • Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook
  • Strong organizational and time management skills to prioritize work and meet deadlines
  • Ability to maintain a high degree of accuracy and attention to detail
  • Strong written communication skills to draft, format and edit correspondence, letters, memos and reports
  • Strong verbal communication skills to clearly and professionally communicate with internal and external stakeholders in person and by phone.
  • Ability to take initiative and work independently with minimal supervision
  • Strong interpersonal skills to build and maintain effective working relationships with various stakeholders
Duties:Administrative Assistant:This position provides administrative, coordination and secretarial support within the Branch. The position is responsible for demonstrating leadership in coordinating activities and in completing independent tasks, such as collating information, gathering background information and organizing events that contribute to the completion of larger initiatives. The responsibilities of this position include assisting with scheduling, correspondence, following up with staff on deadlines, and coordination of administrative functions. Additionally, the incumbent will administratively support a variety of initiatives through the development, revision and editing of documents and websites, organization of meetings, records management and coordination of schedules.Client Service Coordinator:The Client Service Coordinator (CSC) is a front line contact for Agriculture across the province. The Client Service Coordinator path finds and coordinates delivery of departmental and government program and service information in conjunction with Ag Extension Coordinators, departmental specialists and stakeholders. The CSC also provides coordination and support of the development, delivery and extension of department programming to clients. The CSC handles logistics, publicity, registration, support materials and equipment for extension events; acts as first point of contact and outreach agent for clients, public and staff enquiries regarding extension materials and programs. The Client Service Coordinator is responsible for primary client interactions by being the point of client contact for the range of department programs and services, assesses client needs and provides referrals to appropriate resources or programs inside and outside the department.
