Job Description

Job descriptionReports to the Director of Care, the Admin Assistant will provide administrative support to the site managers of The Kenneth E. Spencer Memorial Home Inc. and their employees. The successful Candidate will be required to perform confidential administrative and clerical tasks and assist with daily office needs with discretion and diplomacy.Qualifications:

  • Excellent oral and written communication skills
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficient with the use of a computer, including but not limited to the use of Microsoft Office Software (Outlook, Excel, Word, PowerPoint)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Strong organizational skills with the ability to multi-task
  • High School Diploma
  • Post-secondary education in a relevant program (at least one (1) year program)
Administrative Duties & Responsibilities:
  • Handles administrative requests, reports, special projects and queries from the executive assistant to the CEO, Senior Managers/Directors
  • Schedules meeting and take minutes as requested by a supervisor or designate
  • Updates and distributes the Quarterly Newsletter, Spencer Home Brochures/Information Booklet
  • Maintains and updates forms, telephone list as needed
  • Creates posters as needed
  • Provides support to Spencer Home Foundation
Receptionist Duties & Responsibilities:
  • Answers and direct phone calls
  • Provides general support to visitors
  • Acts as point of contact for internal and external clients, vendors, etc.
  • Assists photocopying and order supplies
  • Acts as delegate for the Business Office Receptionist during vacation as needed
  • Handles residents trust accounts
